Job Description

The Campbell County Registrar's Office is actively recruiting an Administrative Aide to assist with daily operations. The ideal candidate will be a problem solver with excellent communication skills and impeccable attention to detail. The candidate should also have experience working in an office environment, performing administrative tasks, and providing support to coworkers.

Makes a daily difference in the Campbell County organization and locality through: hard work, open and honest communication, ongoing improvement and accountability.

General Service Areas/Conditions: Primarily indoor office environment in various departments with occasional site work as required. Ability to occasionally lift and/or move up to 25 lbs.

Frequent interaction with the public. Some nights and weekends could be required as needed.

Performs with excellence, the following tasks, including but not limited to:

  • Answers phones, takes messages, and greets public;
  • Initiates and prepares correspondence and documentation for departmental offices;
  • Collects and distributes mail to departments;
  • Assists in preparation of materials provided to boards/commissions/committees prior to each meeting as assigned;
  • Works in conjunction with other staff members and assists in phases of preparation of the fiscal year budgets;
  • Works closely with other County, Regional and State Offices;
  • Assists in preparation of requisitions and requests for appropriations of funds;
  • Codes invoices;
  • Takes minutes and serves as secretary for Committees, Board of Supervisors and work sessions as assigned;
  • Assists with inventory records and other valuable items such as keys and credit cards, and assigns them to employees as directed;
  • Assists the public in a professional, courteous manner to resolve problems and answer questions;
  • Assists with basic budget, finance, and personnel questions;
  • Relieves on answering other Departmental phones as needed;
  • Maintains files and other record keeping activities;
  • Generates reports for grant accountability and maintenance as needed;
  • Gathers and complies information for reports;

Qualifications:

  • High School diploma or GED;
  • 3 years of related experience or equivalent combination of education and training;
  • Valid Virginia Drivers’ License;
  • Completion of National Incident Management System (IS-100 and IS- 700 or NIMS equivalent) within 90 days of employment.
