Virginia MetalFab is looking for motivated and energetic individuals to fill the role of Senior Administrative Assistant.


WHO YOU ARE IN THIS ROLE

As a Senior Administrative Assistant, you will be a part of an AWESOME office team and will help facilitate the efficient operations of the company by performing a variety of clerical and administrative tasks. Your responsibilities include receptionist tasks such as answering calls, greeting visitors, and directing communications, ensuring a warm and professional atmosphere. Additionally, you'll play a key role in order processing, helping to streamline and manage orders efficiently. Your ability to work well with others in a fast-paced setting is vital, as is your willingness to take initiative and work under minimal supervision. A goal-driven mindset and the ability to handle multiple tasks simultaneously are essential qualities for success in this position.

FUNCTIONS OF THE JOB

  • Answering phones and routing calls to the appropriate department(s)/person(s) after determining the nature of the call.
  • Take and deliver messages to proper personnel and departments.
  • Schedule meetings and send meeting invites to attendees.
  • Perform various general in-office tasks as assigned
  • Oversee clerical tasks, such as sorting and sending mail each day.
  • Maintain proper documentation on tasks, as needed.
  • Welcome any visitors to the office and help direct them to the proper department.
  • Type routine correspondence, letters, forms, or materials provided by staff in draft form.
  • File forms, correspondence, and/or documents in accordance with established office routines.
  • Copy and duplicates materials as requested.
  • Assists other clerical staff by providing them support in accomplishing their job duties in times of peak demand or to meet work priorities.
  • Inventory and order proper office and shop supplies.
  • Work on a variety of logistics functions in support of daily operations
  • Assist in all divisions, Finance, HR, Sales, and Production as needed.

HOURS

8-hour shift Monday-Friday/ 7:00 a.m. - 4:00 p.m.

SKILLS & ABILITIES


Education: HS or GED


Experience: At least 1-2 years in a similar role, demonstrating proficiency in handling phones, managing correspondence, and performing general office tasks.


Computer Skills: Proficient with or the ability to quickly learn production software or other company systems. Proficient with Microsoft Office Suite.


Certifications & Licenses:


Other Requirements: Excellent verbal and written communication skills. Excellent interpersonal skills with experience in handling multiple tasks in a fast-paced environment. Able to wear PPE in the shop area.


Physical Demands

Lift/carry - Up to and including 21-50 lbs. occasionally.

Push/pull - Up to 26-40 lbs. occasionally.


WORK ENVIRONMENT

Exposure to Chemicals – acetone, gasoline, purple powder, etching.

Exposure to outside elements and working in a non-climate controlled environment.
