JOB TITLE DESCRIPTION:


· Process orders from customers and maintain communications with order acknowledgements and other information they may need on the status of order for good customer relations.

· Place orders with the appropriate vendor and maintain communication on the status so that customers can be kept up to date on their order.

· Coordinate logistics and transportation for the timely delivery of customer orders.

· Coordinate other vendors who may be involved in completing the order such as independent machine shops so on time delivery is achieved.

· Responsible for pricing accuracy to the customer as well as the vendor so that company profit goals are achieved.

JOB REQUIREMENTS

· 2-5 Years of Customer Service in a fast-paced office environment.

· Bilingual in the Spanish language to facilitate communication with our Mexican vendors. Beneficial, but not a requirement.

· The Materials Coordinator/Customer Service Rep position will assist Materials Manager & Shipping Department in all aspects of day to day operations, as well as monitor customer portals and communicate with customers as necessary.



REPORTING RELATIONSHIPS:


This position Directly reports to: Materials Manager



RESPONSIBILITIES AND AUTHORITIES:


The responsibilities and authorities for this position include, but are certainly not limited to:


· Monitor Customer portals on a daily basis as necessary (including weekends as necessary)

· Communicate with Customers via phone or email as necessary

· Assist the Shipping Dept. as necessary in completing shipments (documentation and/or loading

trucks, scheduling pickups, etc.)

· Assist Materials Dept. in completing cycle counts

· Assist Materials Dept. during Physical Inventories

· Assist Materials Manager in completing required tasks

· Participates in Plant wide 5S initiatives

· Promote an atmosphere of Teamwork at all times

· Maintain a clean and safe working environment

· Create, verify, and manipulate spreadsheets, data tables and reports as needed

· Completion of any other duties as assigned

· Work in compliance with the Quality and Business Operating System and all Health & Safety

and Environmental legislation

· Abide by Company Value Statement and the Company Standard Code of Conduct

· Completes other duties as assigned

· Maintain all customer portals (DDL; CLIPS; SPOC; etc.)

· Communicate all shortages or deviations to shipping schedule to all internal and external parties that are affected.

· Communicate shipping requirements to necessary internal team members.

· Work with Material Planners to ensure shipment schedules can be met.

· Set up and track all instances of outbound premium Freight. Report instances to internal management.

· Attend daily production meetings to ensure all requirements are understood.

· Update and monitor KPI's as required. Assist in problem solving and corrective action process for any missed KPI's.

· Monitor customer packaging levels and help get resolution whenever they are low.

· Attend Engineering Change Meetings and help establish firm run out/change over dates with customers and production.

· Monitor and communicate all instances of past due product to ensure customer impact is minimal.

· Assist Materials in daily Cycle Counting activities.

· Work with Shipping to ensure the correct parts are being shipped daily and accordingly to the customer requirements.

· Monitor outside processing to ensure production has the material required to meet the schedule

· Assist in continuous improvement activities



HEALTH & SAFETY RESPONSIBILITIES:


The Materials Coordinator is responsible for complying with the Company Health & Safety Program including Occupational Health & Safety Legislation, regulations, standards and Company Health & Safety policies. Reference: JDA-003 Worker/Supplied Labour Health & Safety Responsibilities (Addendum to Worker Job Descriptions).



MINIMUM EDUCATION REQUIREMENTS:


Must possess a high school diploma or equivalent.



WORK EXPERIENCE REQUIREMENTS:


This position requires the following minimum work experience qualifications:


· Must have the ability to be trained for the above mentioned responsibilities and authorities

· Acceptable performance record and attendance record required


· Basic Computer skills including Microsoft Office (Word, Excel, Outlook)

· Strong communication and time management required.

· Ability to build a strong rapport with customers.

· Organization and efficiency working with others a must.

· Should be willing to take initiative

This position requires the following minimum training:


· SDS

· Plasman Quality / Environmental/Safety Policy awareness

· New Employee Orientation (when required)

This position requires the following minimum training:


· Ability to perform well in high pressure situations

· Must be self-motivated

· Must have demonstrated communication skills both written and verbal

· Must have intermediate computer skills

· Ability to prioritize and adjust work based on requirement

· Meets expectation rating for relevant competencies.

· Access to reliable transportation
