Position Summary:

We are seeking a motivated, skilled, and compassionate individual to be the first point of contact for people seeking services for themselves or a loved one in person, by phone, or email. The person we seek to hire will be dependable, trustworthy, and empathetic.

Position Responsibilities

  • Serves as the first point of contact to people in a friendly and caring way and can hold boundaries in a firm yet compassionate way
  • Operates multi-line telephone system and route calls and responds to general inquiries
  • Enters clients into the agency's Electronic Health Record; updates demographic and insurance information.
  • Schedules client intake appointments and monitors appointment schedules daily, including client appointment reminder calls
  • Performs day-to-day administrative functions and general office duties including, but not limited to, word processing, excel spreadsheets, copying, filling, faxing, scanning, answering phones, and data entry like UA collection and results
  • Tracks vital data necessary to complete state, federal and grant reporting requirements due with various timelines
  • Practices confidentiality and privacy protocols in accordance with agency policies and HIPAA requirements
  • Maintains organization in client waiting areas, office files, and at reception desk
  • Informs clients of existing balances, collects payments, updates client's financial spreadsheets
  • Exercises problem-solving and conflict-resolution skills with both clients and staff
  • Attends scheduled department and clinical meetings
  • Completes the next available New Bird Training
  • Cross train to assist with other office functions as needed including intakes, billing, and EHR

Required Qualifications

  • High school diploma or equivalent, required
  • 6 months of front desk reception or scheduling experience in a medical office, is strongly preferred
  • If in recovery or have a history of substance use/abuse, the applicant should be abstinent from all psychoactive substances for at least two years required
  • Prior EMR/EHR experience, strongly preferred
  • Proficient in Microsoft Office Suite, strongly preferred
  • Computer/Tech Savvy, strongly preferred
  • Medical billing & insurance payor knowledge and experience with Medicare, Medicaid, Private Insurance, and Managed Care Programs, strongly preferred

Compensation Details:

This is an non-exempt] position with target starting base compensation wage at $18 per hour, paid on a bi-weekly basis.
