The Front Desk Coordinator is responsible for a wide variety of tasks, including performing administrative and specialized tasks in support of the day-to-day office operations. This role also serves as the first point of contact for visitors and is responsible for the operational effectiveness of the office environment.

Key Duties and Responsibilities

  • Greet clients and visitors, answer phones and forward calls and messages
  • Maintains office supplies by checking stock to determine inventory levels; anticipating requirements; placing and expediting orders; verifying receipt; stocking items and delivering supplies to workstations
  • Receives and sorts incoming mail, stamp and send outgoing mail, manage incoming and outgoing FedEx/UPS packages
  • Responsible for the administration of office related services, mail machine and supplies, printers and supplies, and misc. pop/water/coffee orders
  • Assists in maintaining and updating the company employee contact list, and birthday calendar
  • Supports with employee communication efforts in assigned areas, sends companywide or targeted communications, and assists employees with questions
  • Assists teams with conference room booking, food orders, communications, etc.
  • Ensure the general pick up and cleanliness of the office, breakroom, and kitchen facilities including fridge and freezer cleanouts
  • Enter weekly truck time per job
  • Process incoming payables by populating coding table, route to appropriate team members
  • Performs other day-to-day administrative tasks as assigned

Experience, Education & Skills

  • Minimum three years or more of experience in a similar role
  • Working knowledge of appropriate business software, such as Microsoft Office - Excel, Word, Outlook SharePoint
  • Results-orientated with proven ability to organize, plan and prioritize work to meet deadlines
  • Excellent verbal, written, and presentation skills; communicates effectively with management, employees, customers, and vendors
  • High level of motivation, integrity and commitment to team and customers
  • Strong work ethic, decisive, ambitious, with an unwavering commitment to quality and professional work

Working Conditions

  • Office Environment - extensive sitting at desk and computer; some standing, bending at the waist, stooping and reaching required; ability to lift 5-20 pounds occasionally.
  • This role will require 40 hours of work per week.
