Department: Front Desk

Reports To: Front Desk Manager and/or General Manager




PURPOSE

The Assistant Front Desk Manager will assist in managing the resorts’ Front Desk operation by the implementation of high-quality services offered to

guests. This will occur through guest registration, bell services, telephone services, guest accounting.


EDUCATION, EXPERIENCE

Associate degree preferred; one to three years’ related experience; or acceptable equivalent combination of education and experience.


CERTIFICATIONS

  • Valid driver’s license
  • Obtain First Aid/CPR certification within six months of employment

ESSENTIAL FUNCTIONS

To perform this job successfully, an individual must be able to perform each essential function satisfactorily. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

  • Assist in overseeing the day-to-day Front Desk operation and generate, through proper supervision of team, new programs which result in an increase level of guest satisfaction, operational excellence, increased occupancy and projected revenue levels.
  • Train Front Desk staff utilizing tools such as the monitoring of the property management system (RDP) and by providing consistent feedback.

Ensure the staff have the information and tools necessary to perform their job well.

  • HR functions: ensure proper staffing levels; recruit, interview, hire, coach, discipline, terminate Front Desk staff; perform timely performance reviews of team; write and post the department schedule in a timely manner, all as directed.
  • Inventory: Maintain room inventory (through third party booking channels), front desk supplies, guest services supplies inventory (including brochures and area information supplies), monthly video inventory and accurate accounting of all tickets and discount coupons, as all directed.
  • Audits: Ensures and audits procedures for credit control and financial transactions; ensures proper security of department monies; audits all department reports for accuracy and completeness, all as directed.
  • Work with Marketing Department to design and implement lodging specials, as directed.
  • Assist in the management of the Gift Shop sales and operations, if directed.
  • Attend and represent resort at various events.
  • Serve as guest concierge: Answer inquiries regarding resort area and services; arrange for guest transportation, collect and distribute messages for guests; secure patrons valuables in safe; assist with guest requests; address and resolve guest issues, etc.
  • Check in and check out guests in an efficient, warm and friendly manner; register guests into the computer; verify reservation, address, credit information, etc.
  • When applicable, oversee the Guest Service Department; manage activities and expenses in accordance with the Guest Service budget.

This position is responsible for a budget only as directed by the Front Desk Manager and/or General Manager. The budgetary responsibilities man include:

  • Work with the management team and Marketing Team to assist in developing and successfully executing the Revenue Management Plan.
  • Participate in the creation of the budget.
  • Monthly review of financials in relation to approved budget.
  • Knowledge of annual goals.
  • Reach/exceed goals.
  • Participate in annual budget process.

PHYSICAL DEMANDS

While performing the duties of this job, the employee is constantly required to stand, talk, hear, and use hands. The employee is frequently required to walk. The employee will seldom be required to sit, reach, climb, stoop and kneel. The employee must frequently lift and/or move objects up to 25 pounds. Specific vision requirements required by this job include close and distance vision.


WORK ENVIRONMENT

While performing the duties of this job, the employee will frequently be exposed to general office environment conditions. The employee will seldom be exposed to high, precarious places, fumes or airborne particles, outdoor conditions and moderate noise.


Due to the cyclical nature of the hospitality industry, the employee may be required to work varying schedules that reflect the business needs of the resort. In addition, attendance at all scheduled training sessions and meetings is required.
