HOW YOU WILL SOAR:

The Operations Support Admin will report to the Incoming Payments Manager in the R&W Operations Department. Incoming Payments is responsible for posting alternative asset income, distributions and liquidation proceeds as well as funds related to individual client contributions and transfers. The position’s primary responsibilities are data entry, research and processing to assist the team. The ideal candidate will be a quick learner and have strong attention to detail, accurate and rapid data entry capabilities, capacity for multitasking, and the ability to prepare and process correspondence in a timely manner. Through verbal and written communication, the incumbent will develop, strengthen and maintain positive relationships with the Incoming Payments team, firm associates, clients, investment sponsors, and referral partners.

  • Complete processing, data entry and other support tasks associated with posting asset related income, distributions, and liquidation proceeds as well as depositing of client funds

  • Assist with the preparation of file uploads for posting funds into client accounts

  • Create and run mail merges; prepare, scan, and mail liquidation and holdback follow-up letters to investment sponsors and clients

  • Notate and scan documents into the Client Account Portal accurately and timely.

  • Review, organize, and complete funding information documents received from clients and investment sponsors

  • Respond to incoming and outgoing communications, including emails, phone calls, cases and faxes

  • Maintain and publish team processing metrics

  • Ensure all processing consistently meets established service levels and is done with a high degree of accuracy

  • Assist with any other tasks or projects as assigned

IF YOU HAVE SOME OR ALL OF THE FOLLOWING, APPLY:

  • 0-2 years of applicable experience

  • Quick learner, inquisitive and curious

  • Ability to be detail-oriented, organized and dependable

  • Ability to type, enter data and perform other duties quickly and accurately

  • Demonstrated ability to work independently and be proactive in resolving issues and seeking additional work as time allows

  • Possess a strong computer aptitude and proficiency with Microsoft Outlook, Excel and Word, particularly Word’s mail merge functionality

  • Proactive and analytical, able to problem-solve and propose resolutions

  • Possess strong verbal and written communication skills

  • Operate with a high sense of responsibility and conscientiousness in delivering results

  • Optimistic with a consistently positive and flexible attitude

  • Ability to maintain the highest quality of service

  • IRA knowledge and experience with alternative investments and data archival systems preferred
