Position: Human Resources Coordinator

Reporting to: Chief Human Resources Officer

Location: Bentonville, Arkansas

Art and Wellness Enterprises (AWE) is seeking a skilled and highly motivated individual to join the team as Human Resources Coordinator to the Chief Human Resources Officer. AWE supports operating non-profits founded by AliceWalton including the Alice L. Walton Foundation, Alice L. Walton School of Medicine, Art Bridges, Crystal Bridges Museum of American Art, the Momentary, and Heartland Whole Health Institute.

About the Position

This full-time position is responsible for providing high-level administrative support to the Chief Human Resources Officer (CHRO) and the overall human resources and talent acquisition team to ensure key tasks and initiatives can be accomplished effectively and efficiently. The HR Coordinator will be responsible for managing calendars, including scheduling meetings, confirming appointments, creating itineraries, managing invoices and billing and creating expense reports. This position requires a strong combination of organizational skills, high attention to detail, and the ability to prioritize and manage multiple tasks in a dynamic HR environment. The HR Coordinator will handle sensitive and confidential information and interact with internal and external stakeholders.

What you will do

Key Roles & Responsibilities

  • Organize internal and external meetings, including notifying attendees, reserving conference rooms, handling logistics, drafting and distributing agendas, and taking minutes as needed
  • Ensure timely and accurate information flow of information to and from the CHRO and other members of leadership
  • Track, monitor and follow-up on projects and action items that stem from the CHRO; work closely with members of the leadership team to receive regular updates on outstanding items
  • Schedule interviews, coordinating with hiring managers, candidates and interviewers. Must be able to arrange interview rooms, virtual meetings and provide necessary resources for a smooth interview process
  • Reserve and coordinate domestic travel arrangements
  • Assist with posting jobs on various internal and external websites
  • Prepare presentations, including strategic planning documents, in PowerPoint or other formats
  • Assist with billing review, credit card reports, and process administrative paperwork
  • Other duties as assigned

Qualifications required for your success

  • High School diploma or GED
  • 2+ years' experience providing direct senior-level project and administrative support
  • Previous experience in HR administration and talent acquisition roles
  • Workday experience preferred
  • Excellent oral and written communication skills
  • Exceptional organizational skills and attention to detail
  • Demonstrated competence with tracking, coordinating and follow-up of priorities and projects
  • Demonstrated competence in developing presentations
  • Superb professionalism and diplomacy; ability to interact with high-level individuals internally and externally
  • Ability to multitask and prioritize a number of projects
  • Ability to maintain confidentiality and handle sensitive information with discretion

Physical demands: Position requires utilizing a computer and telephone for prolonged periods of time, good eye/hand coordination, verbal, and written conversation with others, and lifting/carrying up to 10 lbs.

Work environment: Work will be performed in an office environment full-time (Monday-Friday, 8AM-5PM.) The noise level in the work environment is usually low to moderate. Flexibility in working hours, including weekends and evenings, may be necessary to support operational needs.
