Position Overview
This position resides in our Garden City office and will report to our HR Manager. You will be responsible to carry out all Company goals and objectives as they relate to this position. Responsibilities include, but are not limited to, typing, answering phones, filing, faxing, scanning, ordering and maintaining office supplies and lending clerical assistance to our Accounts Payable Department.
Principal Duties and Responsibilities:
Reception:
Answer incoming telephone calls and route to specific individual or department. Taking accurate messages and screening calls appropriately
Welcome and assist guests
Maintain a clean and orderly reception area and breakroom including stocking as needed
Receive the daily mail delivery, sort and distribute and process checks
Order and maintain supplies as needed according to Company policy including toners, stationery, business cards, garments and copy paper for all locations
Collect and submit proper traffic ticket documentation to vendor who handles Process those invoices for accuracy and submit for payment
Maintain the postage machine and process all outgoing mail
May be required to type memos, correspondence, reports, and other documents. Also work with Excel spreadsheets
Responsible for accumulating and ordering garments for our field workers with the managers twice a year for all locations. Placing orders and ensuring accuracy.
A/P Administrative Assistant:
Stamping all received mail with the appropriate date and distributing to the
appropriate parties
Filing all paid invoices and employee expenses
Matching packing lists with the appropriate invoice
Retrieving proof of deliveries for different vendors for all invoices $1,000.00 and up
Mailing out remittances with signed checks
Other duties as required or assigned by the A/P Team
Qualifications
Must be professional and courteous to all
Must live within a reasonable distance of our Garden City office
Must have at least 3 years’ experience working in a corporate office environment
Must be proficient with a computer and fluent in Microsoft Office Suite (Especially Word, Excel, Outlook)
Additional training in customer service or computer related skills are a benefit
Must be able to manage multiple tasks simultaneously, be familiar with standard business documentation and invoices
Must demonstrate planning and organizational skills in order to assure that assigned tasks are completed on or before the specific due date.
Excellent written and verbal communication skills
Must be responsible, self-motivated, self-starter, personable and well-organized
Superior customer service skills to deal with both internal and external customers
