Shantel Poole with Robert Half is partnering with an exceptional company looking for Accounts Payable/ Payroll Specialist. If you are interested in developing your career this will be interested in this opportunity with a promising Construction/Contractor company.

Accounts Payable:

  • Conduct data entry and process weekly construction and overhead check runs.
  • Coordinate invoice approvals efficiently.
  • Review, reconcile, and promptly follow up on any past due accounts.
  • Track compliance, including lien waivers and preliminary lien notices.
  • Set up contracts in the job cost system accurately.
  • Assist in implementing robust accounts payable procedures.
  • Reconcile credit card transactions on a monthly basis.
  • Interact with offsite managers to address queries on payments, account coding, and other accounts payable matters.
  • Maintain both paper and electronic files, including W-9s, Certificates of Insurance (COIs), and lien releases.
  • Collect information, prepare, and file 1099 forms diligently.


Payroll:

  • Act as the primary payroll administrator, ensuring accurate and timely payroll processing for approximately 35 employees.
  • Collaborate with managers to collect and submit employee hours promptly, make necessary changes, update wages, and issue manual checks when required.
  • Ensure correct job cost coding for construction employees.
  • Identify and resolve payroll discrepancies effectively.
  • Prepare monthly 401(k) reports, journal entries, and annual census submissions electronically.
  • Process 401(k) contributions and manage related administration tasks.
  • Oversee benefits accruals, including Personal Time Off (PTO), and ensure adherence to company policies.
  • Verify accuracy of employee benefit insurance withholdings.
  • Address inquiries regarding paid wages, payroll deductions, accruals, wage garnishments, and child support payments promptly.
  • Collaborate closely with Human Resources on new hires, benefit enrollments, separations, and other employee changes requiring payroll system processing.
  • Maintain electronic payroll files meticulously.

- Strong familiarity with Coding Invoices

- Check Runs experience

- Comprehensive knowledge of Accounts Payable (AP)

- Full Cycle Payroll experience required

- Account reconciliation experience

- Adeptness in Aging Reports

- 3+ years of experience in an A/P role preferred

- Articulate customer service and interpersonal skills, especially when interacting with those in the technical and financial backgrounds

- Strong organizational skills and attention to detail are a must

- AA or BS/BA degree in Accounting, Business or similar preferred

- Ability to work within spreadsheets and databases
