SUMMARY

The Patient Services Representative – Float is responsible for registering patients, obtaining authorizations, collecting co-pays, answering telephones, and scheduling appointments. The float must be willing and able to frequently travel to other office locations as scheduled by department supervisor.

JOB RESPONSIBILITIES

  • Schedules patient appointments and enters patient recall information.
  • Greets patients promptly and professionally, and checks them in by gathering, verifying, and entering demographic and insurance information.
  • Obtains signed registration sheets, permissions to file claims, and releases.
  • Reviews schedules for insurance authorization/eligibility needed, obtains authorization/eligibility, and enters information in the patient’s EPM chart.
  • Collects payments, prepares day sheet, and balances cash drawer each day.
  • Promptly handles telephone calls and patient inquiries with professionalism, compassion, and kindness.
  • Scans and files all patient documents at applicable satellite office locations.
  • Uses RMEC approved guidelines to determine urgency based on an explanation of symptoms, screen for urgency incoming telephone calls from patients, or their personal representative regarding patient’s vision and/or optical/ophthalmic care.
  • Maintains personal reference book on insurance companies and coverages.
  • Ability to closely follow HIPAA guidelines and communicate with Compliance Officer regarding concerns.
  • Participates in professional development efforts.
  • Must conform to all RMEC policies and procedures.

WORK QUALITIES

Position requires excellent communication skills and an understanding of ophthalmic practice and patient care. Must demonstrate attention to detail and documentation. Must be even tempered, ethical, and good humored. Must interface with all RMEC departments, physicians, and personnel.

REQUIRED EDUCATION, LICENSURE, AND EXPERIENCE

  • High school diploma or GED.
  • Three years of work experience, some of which is preferably in a medical office setting.
  • Basic understanding of medical billing, insurance, co-pays, and referral processes preferred.
  • Skill in operating computer, word processing software, fax machines, scanners, and copier machines.
  • Alphabetization and spelling skills a must.
  • Must have a valid driver’s license, current auto insurance, and a reliable vehicle.
  • Must be able to pass a criminal background check, motor vehicle records check, drug screen, and Office of Inspector General (OIG) Exclusions Database Search.
  • Must be able to travel to other office locations as needed.
  • Bi-lingual in Spanish a plus.

PHYSICAL/MENTAL JOB REQUIREMENTS

  • Must be able to carry and lift items weighing up to 25 pounds.
  • Must be able to speak clearly in small group settings.
  • This position will require sitting for long periods of time, walking, standing, bending, and walking, as well as using fine motor skills, such as finger dexterity for typing, and using small hand tools.
  • This position could be exposed to loud noises, frequent phone conversations, and requires average to above average visual acuity and hearing.
  • Most of this job will be spent indoors in a climate-controlled environment.
  • Must be available to travel to other office locations as needed.
