About the role:

Directly reports to the Senior Manager, Infrastructure and Procurement, with a primary focus on strategic direction of fleet and facilities operations for all Blue Stream Fiber. This position maintains and oversees a company’s grounds, buildings, and equipment to ensure that a workspace is safe and functional. Their duties include negotiating contracts with service providers, inspecting facilities to meet safety regulations and coordinating renovations and updates. While maintaining over 100 vehicles, this position must effectively ensure safety and effective customer service operations for construction, engineering, technical operations, and miscellaneous administrative and pool vehicles. This position will focus 90% of their time dedicated to employees who are onboarding new communities on both a bulk and right of entry (ROE) basis. This position will define needs and forecasts as well as purchase orders for all fleet needs. This position will be pivotal in negotiating purchasing and delivery arrangements for fleet and facility’s needs. Scope includes managing purchasing and administration including vendor management, financial forecast, and associated reporting.


Responsibilities for this role:


Facilities

  • Delegating cleaning and maintenance tasks to team members
  • Monitoring the safety and cleanliness of interior and exterior areas, such as offices, conference rooms, parking lots and outdoor recreation spaces
  • Performing routine maintenance on facilities and making repairs as needed
  • Scheduling routine inspections and emergency repairs with outside vendors
  • Ensuring proper security measures for the workplace, including collaborating with security system vendors or a team of security professionals
  • Maintaining day-to-day operations of facilities, such as delegating or completing maintenance orders
  • Creating reports on maintenance, repairs, safety and other occurrences for supervisors and other relevant staff
  • Preparing facilities for changing weather conditions and ensuring all facilities preparations are in place for Emergency Responsiveness/Disaster Recovery (ER/DR) needs.
  • Collaborating with building owners and upper management on budgeting for facility’s needs.
  • Work closely with the entire leadership team to refine processes and promote continual improvement of facility’s needs.
  • Proactively identify development opportunities, create documented action plans, provide leadership to facilities associates.
  • Identify and execute improvement strategies to help streamline our operations, improve quality, and gain efficiencies in facilities management.
  • Attends regularly scheduled leadership meetings. Coordinate the dissemination of information through all layers of staff.
  • Prepares standard and ad hoc reports and status reports as needed for the Senior Manager to share with Executive Management.

Fleet

  • Working closely with leadership and staff to develop strategies for improved cost efficiency.
  • Ensuring that a fleet of vehicles is operating in accordance with legislation, safety needs, and regulations.
  • Communicating with Insurance Brokers and organizing the appropriate insurance for Drivers and vehicles.
  • Assisting with the drafting and implementation of effective policies and processes regarding fleet operations.
  • Managing strict vehicle maintenance and servicing schedules to minimize downtime.
  • Monitoring Driver behavior and taking disciplinary action where necessary.
  • Maintaining accurate and detailed records of vehicle inspections and services.
  • Monitoring fleet costs and ensuring that they remain within budget.

Requirements for this role:


  • Bachelor’s degree (BA) or 12 – 15 experience, or equivalent combination of education and experience in related field. Abila to communicate in the English language. Bilingual in any language is a plus.
  • Previous fleet and facilities management experience. Proficient in Microsoft Office, Excel, and Power Point
  • Working knowledge of tools to drive efficiency.
  • Working knowledge of purchasing systems, such as Concur.
  • Customer Centric Mindset.
  • Excellent Communication Skills, written and spoken.
  • Organization skills, attention to detail.
  • Problem Solving Skills.
  • A general understanding of current technologies.
  • Advanced Excel skills, Inventory Management Systems, Spreadsheet Software, and Word Processing (Microsoft Office) Software, Data Entry, Payroll systems, and Order Processing Systems.
  • Knowledge of Fiber to the Home (FTTH) operations, a general understanding of current technology trends for Fleet and Facilities.
  • Working knowledge of Concur and Purchasing systems.
  • Strong knowledge of Microsoft Office Suite (Word, PowerPoint, Excel, Outlook)
  • Advanced Knowledge of Facilities and Fleet Management Software Tools.
