Overview:
We are seeking a proactive Office Associate to join our team. This role primarily focuses on providing support in various tasks, with an emphasis on mailroom operations and document services. The ideal candidate will possess excellent organizational skills, strong attention to detail, and the ability to multitask effectively in a fast-paced office environment. This position offers the opportunity to contribute to the smooth functioning of our office operations and ensure the efficient handling of incoming and outgoing mail, document processing, and other related tasks.
Responsibilities:
- Receive, sort, and distribute incoming mail, packages, and deliveries promptly and accurately.
- Prepare outgoing mail and packages for shipment, including proper packaging and labeling.
- Maintain inventory of shipping supplies and reorder as needed.
- Handle mail-related inquiries and provide assistance to staff regarding mail services.
- Perform printing, binding, and finishing tasks for various documents, reports, and presentations.
- Operate office equipment such as printers, copiers, scanners, and binding machines with proficiency and attention to detail.
- Ensure the quality and accuracy of printed materials, including proper formatting and alignment.
- Assist with document scanning, indexing, and electronic filing to maintain organized digital records.
- Provide light editing and formatting support for documents, including proofreading for grammar, spelling, and formatting consistency.
- Collaborate with team members to ensure documents meet established guidelines and standards.
- Make minor revisions and updates to documents as requested by staff or supervisors.
- Assist with general office tasks such as answering phones, greeting visitors, and managing office supplies.
- Coordinate with other departments to facilitate document-related requests and ensure timely completion of tasks.
- Maintain confidentiality and handle sensitive information with discretion.
Qualifications:
- High school diploma or equivalent;
- Previous experience in an office environment, preferably in a role involving mailroom operations or document services.
- Proficiency in using office equipment such as printers, copiers, scanners, and binding machines.
- Strong organizational skills and the ability to prioritize tasks effectively.
- Excellent written and verbal communication skills.
