Prepare invoices, reports, memos, letters, and other documents, using word processing, spreadsheet, database, or presentation software. Coordinate and direct office services, such as records, departmental finances, budget preparation, and housekeeping, to aid After Sales and Service Manager. Answer phone calls and direct calls to appropriate parties or take messages. Prepare responses to correspondence containing routine inquiries. File and retrieve corporate documents, records, and reports. Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution. Maintain customer records using automated systems. Display extensive working knowledge of Service standards and practices, including product details and company services offered. Conduct research, compile data, and prepare papers for consideration and presentation to After Sales and Service Manager. Compute and compare cost of services. Prepare quotes, provide information as requested with management final approval. Understand the scheduling process and start scheduling technicians to job sites. Communicating with supervisors, peers, or subordinates or with persons outside the organization. Requirements and Education Microsoft Office 365 software – Word, Excel, Outlook, PowerPoint (if applicable) This position reports directly to the After Sales and Service Manager. This position is considered regular, full-time, and requires a minimum in-office schedule of 40 hours per week. This may also include occasional travel. Confidentiality, integrity, dependability, and cooperation. Valid driver’s license and dependable transportation. Observe and comply with AVC’s rules and regulations. Bi-lingual (Spanish) a plus. Must agree to (and pass) a background check, physical (if applicable), and drug screening testing. This position requires continuous training. Associate degree or comparable work experience.
