Shipping & Receiving Clerk

Property & Acquisition

Hourly Wage: $16.07/Regular/Full-Time


The Shipping & Receiving Clerk has the major responsibility of taking delivery of goods that have been properly authorized for purchase or receipt by the Yakama Nation. It is also his or her responsibility to see that such goods are not obviously damaged and that all the physical counts and descriptions of the goods match the written documentation on packing slips, purchase orders and other shipping papers. Reports of items received, and discrepancies must be submitted on a timely and regular basis. Responsible for all incoming freight, performing clerical duties that include data entry, and capable of learning all phases of shipping & receiving functions in regards to storage, shipping & receiving, and deliveries. Verifies as well as keeps records of incoming and outgoing shipments, prepares items for shipment, compares identifying information plus counts, weighs, or measures items of incoming outgoing shipments to verify information against invoices, or other records. Determines method of shipment, utilizing knowledge of shipping procedures, routes, and rates. Performs clerical and physical tasks in connection with shipping goods and receiving incoming shipments. Work cooperatively and coordinate activities with other workers engaged in handling goods to be shipped or being received.


Examples of Work Performed:

Ensures electronic and/or computer equipment is secure until time of delivery to applicable program.

Processes monthly bulk mail transactions.

Maintain accurate tracking system on all shipping and receiving transactions, including receiving authorized signatures for received packages.

Prepare routine reports and file shipping & receiving records, maintain files, spreadsheets, and miscellaneous documents.

Utilize first in-first out delivery method to ensure timely delivery packages.

Require for transporting packages to tribal programs using designated tribal vehicle.

Follow established departmental policies, procedures, and objectives, continuous quality improvement objectives, and safety and/or control standards.

Responsible to make arrangements for pick-up by the carrier specified on the programs purchase order which is conveyed to the Shipping & Receiving clerk by final inspection via the shipping instructions.

Must report defective materials or questionable conditions to the Property & Acquisitions Manager.

Responsible for keeping an adequate supply of shipping materials on hand at all times.

Post weights and shipping charges, and affixes postage. Responsible for the daily mail run to and from the post office, including sorting and placing mail in the respective program mailbox.

Maintains the work area and equipment in a clean an orderly condition and follow prescribed safety regulations.

Accepts and signs for all incoming freight-ensuring each box/package has a purchase order number for location identification and computer tracking. Goods that have major obvious discrepancies need the approval of the Shipping & Receiving Clerk's supervisor before receipt. If the Supervisor is not available, such goods must be refused.

Ensure all goods for receipt comply with internal procedures for equipment tagging and tracking.

Prepare receiving reports for management and prepare claim forms against carriers as necessary.

Unpacks and examines incoming shipments, rejects damaged items, records shortages, and corresponds with shipper to rectify damages and shortages.

Examines outgoing shipment to ensure shipments meet requirements.

May operate tier-lift truck, pallet jack, or use hand truck to move, convey, or hoist shipments from shipping and receiving platform to storage or work area.

Use a computer as needed for email, internet information and use Microsoft Office documents to create entries and maintain a log of incoming and outgoing packages.

Maintain a loading dock in good order, including all necessary labels, equipment, materials, and supplies.



Select appropriate carriers/truckers to fill needs, both domestic and international and complete necessary

shipping documentation.

Provides cross training to relevant staff in relation to shipping & receiving procedures as required.

Maintain and promote strict standards of confidentiality and professionalism.

Must be able to meet the physical requirements of the position. Job duties require physical endurance such as lifting heavy objects, standing for long periods of time, walking, and climbing.

Must be able to work in all weather conditions.

Other duties as assigned.

Knowledge, Skills and Abilities:

Knowledge of postal or commercial shipping methods and procedures.

Ability to multi-task and pay attention to detail.

Ability to maintain quality, safety, and/or infection control standards.

Ability to understand and apply available guidelines to varied operational requirements and to follow clearly stated oral and written instructions.

Ability to establish and maintain effective working relationships as required by the work assignment.

Required to lift up to 50 lbs.

Regularly required to sit, stand, bend, reach and move about the property.

Use of tribal vehicle(s) for pick-up and delivery of packages to/from tribal programs.

Have strong customer service skills and the ability to meet and deal with the public in a professional, pleasant, and courteous manner, and at times in stressful situations.

Demonstrate initiative and maintain a positive attitude.

Excellent time and attendance.

Professional telephone etiquette skills.


Minimum Requirements:

High school diploma or G.E.D. required.

Six months of general office work experience.

Any experience or education which would demonstrate the ability to perform the work.

Must possess a forklift certification or be able to obtain one within 6 months of hire.

Must possess a valid Washington State Driver's License with the ability to obtain a Yakama Nation Driving permit.

Required to pass a pre-employment drug test.

Enrolled Yakama Preference, but all qualified applicants are encouraged to apply.
