Educational Operations Administrator and Registrar

 

The Educational Operations Administrator and Registrar works closely with the Academic Department along with other members of the LanguageBird team to ensure each LanguageBird student receives the best educational experience. This position serves as a member of the Academic Department and leads operational projects and processes, overseeing student-instructor matching, and the creating and maintenance of student records and transcript processes.


Job responsibilities include:

 

  • Serve as the expert on all student account and academic record-keeping processes and needs.
  • Maintain updated records for all students by ensuring statuses reflected in Student Information System are regularly audited and updated.
  • Lead administrative and operational tasks related to academic and technical programming including: Moderating Instructor Support Forum Channels on the topics of Absences and Makeup Credits, Class Pauses/Leaves of Absence, Transcripts, etc.
  • Serve as moderator of all academic support tickets from parents and students in HubSpot.
  • Pull reports for students who have been inactive for 30+ days and communicate with families about inactivity.
  • Stay in regular communication with families who are on approved pauses or have been nonresponsive.
  • Provide consistent and professional customer service to students, parents, partners, secondary contacts, and other referral sources.
  • Manage employees and contractors conducting operations-related work (two people at this time).
  • Work with the LanguageBird administrative team and Academic Department to prepare for and achieve/maintain accreditation (e.g. WASC, Cognia).
  • Collect and assist with the analysis of data needed for accreditation.
  • Collaborate with Academic Department on new projects, systems, and processes to increase and improve customer experience and efficiencies.

Qualifications:

  • Minimum Bachelor’s degree required.
  • Minimum of two years’ experience working in an educational environment.
  • Strong understanding of academic record-keeping and student account management.
  • Registrar experience preferred.
  • Experience managing employees or contractors preferred.
  • Strong skills with Windows, including Word, Excel, PowerPoint, One Note, Teams, and Outlook.
  • Ability to self-direct and collaborate with a team working remotely.
  • Ability to prioritize and manage complex projects with multiple deadlines.
  • Ability to think critically, problem-solve, plan, analyze, and use data.
  • Commitment to constant self-improvement and professional development.
  • Willingness to go above and beyond to deliver white-glove experience to students/parents.
  • Must be able to travel by air or motor vehicle to conferences, trainings, and meetings as needed/required.
  • Adhere to VI guide and LanguageBird brand voice, language, and communication guidelines.
  • Must reside in and be eligible to work in the United States of America.
  • Must be able to work during U.S. business hours.
