Position: Litigation Legal Assitant

We are a Top Ranked full-service firm with over 100 attorneys throughout California. We have a prominent litigation practice, with around half of the firm’s lawyers focusing on the area. The firm’s litigators handle disputes relating to business and corporate, employment, intellectual property, real estate, and more—and the firm is home to experienced trial lawyers. On the transactional side, We represents a range of clients, including investors, startups, large and small companies, and nonprofits. The firm has a dedicated Tax Group but also takes a cross-practice approach through which tax lawyers help clients across the firm’s practices. Another area of note for the firm is its Real Estate practice—the firm’s real estate attorneys have had an impact throughout California, assisting with transactions, financings, and more.

Our Sacramento Office is seeking a full-time (37.5-40 hours per week), experienced Litigation Secretary to join our Litigation Practice Group. This position is eligible for a hybrid remote schedule (1-2 days remote with 3 days in the office) after 90 days of employment. The successful candidate must be able to multi-task in a fast-paced and professional environment, enjoy working as part of a team, and demonstrate a commitment to quality client service.

REQUIREMENT AND EXPECTATIONS

• Maintain attorney calendar by planning and scheduling conferences, teleconferences, depositions, and travel, recording and monitoring court appearance dates, pleadings, and filing requirements and monitoring evidence-gathering.
• Produce legal information by formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics, coordinating case preparation and assuring that high priority items are completed in a timely manner.
• Prepare documents and binders for state and federal court filings, discovery, arbitration, appeal, labor commissioner, mediation and hearings.
• Conduct heavy pdf formatting including bates stamp, merging, redacting, combining, and scrubbing data. • Read, sort, save, and date incoming mail. Ensure that outgoing mail is processed according to office procedures. If necessary, route mail to specific delivery service and follow up on timely delivery.
• Draft letters, shells and format documents, collect and analyze information, schedule couriers, court reporters, expert witnesses, and other special functions, coordinate preparation of charts, graphs, and other courtroom visuals; prepare expense reports.
• Create discovery and pleading shells.
• Complete and submit conflict check forms, screening forms and new matter request forms.
• Maintain all client and general files (hard paper and/or electronic).
• Provide exceptional client service to guests and clients whether in person or on the telephone.
• Maintain good public relations and diplomacy with clients while observing confidentiality of attorney-client relationship.
• Input time entry, review and edit bills.
• Maintain attorney’s MCLE hours, courses, and fees yearly.
• Photocopy and assemble documents as required.
• Additional duties as assigned including assisting other secretaries, as needed.

EDUCATION AND EXPERIEINCE

• 7+ years legal secretary experience with extensive knowledge of civil litigation.
• Advanced working knowledge of Microsoft Office Suite (Outlook, Word, Excel and PowerPoint).
• Experience with Worldox preferred.
• Type 50 wpm.
• Solid drafting and proofreading skills.
• Self-motivated and able to work independently.
•Strong knowledge of court procedures, e-filing, Pacer, CM/ECF, and EEOC Portal.
• Ability to multi-task and meet deadlines.
• Strong analytical and problem-solving skills
