Montgomery & Associates (M&A) is seeking a full-time HR Administrative Assistant to support our hiring and onboarding process and assist with administrative duties for our HR manager, office coordinator, and scientists across multiple offices in the western United States.
Responsibilities
Talent Acquisition and HR Support
  • Screen applications, conduct initial phone interview
  • Correspond with candidates and internal staff regarding the hiring and preboarding process
  • Schedule interviews and facilitate all stages of the interview process
  • Ensure candidate references and background checks are completed
  • Maintain and update applicant tracking system (ATS) features and functionality
  • Coordinate job posting process
  • Arrange travel and/or accommodations for applicants when necessary
  • Schedule and organize onboarding plan
  • Provide administrative support to the HR department
  • Perform other projects and duties as assigned by HR Manager
Administrative Support
  • Open the office daily; assist with office closing on request. This includes unlocking/locking doors, turning lights on, making coffee, stocking coffee supplies, unloading/loading dishwasher, and wiping down counters.
  • Perform light front office receptionist activities; answer phone, greet and direct visitors
  • Maintain kitchen organization and ensure the office consistently maintains a professional appearance
  • Process incoming and outgoing mail and packages in office administrator's absence or as requested
  • Assist with administrative support for weekly field team meetings
  • File and archive hardcopy folders and documents
  • Complete general office scanning, copying, faxing, and paper recycling/shredding
  • Assist with in-office meetings/lunch orders
  • Edit employee timesheets for grammatical errors after every payroll date
  • Support project managers with data entry tasks as needed
  • Complete other tasks as assigned by Tucson Office Manager
Qualifications
  • Warm and genuine interpersonal and customer service skills
  • Prior experience supporting recruiting and hiring process highly preferred
  • 3 to 5 years' experience as an administrative and/or HR assistant in a busy, productive office or combination of work experience and education
  • Excellent written and verbal communication skills
  • High proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
  • Proficient with or the ability to quickly learn applicant-tracking software
  • Proactive and independent with the ability to take initiative
  • Excellent time management and the ability to prioritize work in a deadline-driven environment
  • Excellent organizational and problem-solving skills; attention to detail
  • Familiarity with EEO, ADA, and other related employment laws, regulations, and best practices applicable to hiring and recruitment
Physical Requirements:
  • Prolonged periods of sitting at a desk and working on a computer
  • Must be able to lift up to 15 pounds at times
This full-time hourly position is 40 hours per week and will be performed in the office during normal business hours. Work hours are Monday through Friday, 8:30 a.m. to 5 p.m. with a half-hour lunch or 8 a.m. to 5 p.m. with an hour lunch. Occasional overtime may be required to meet deadlines. This position requires close communication and coordination with our HR Manager and Tucson Office Administrator. In general, HR activities take priority over office, accounting, or field operations activities.
