Purchasing Options Coordinator – Northern California

Essential Duties

  • Process purchase orders and all paperwork pertaining to options.
  • Upload option paperwork to the Trumark document management system for the construction, design, purchasing, and sales teams.
  • Provide efficient communication to all involved in the contracting, construction, design, and sales process of any changes to the options program.
  • Track all the options for each community using an Options Tracker excel spreadsheet and keeping the tracker updated so that it accurately represents the latest information on lots that have been processed, as well as those requiring attention from other team members.
  • Utilizing reports provided by other Trumark departments to keep the Options Tracker updated.
  • Manage all options folders in the system by ensuring proper filing of documents once options have been processed.
  • Assist the purchasing team in submitting new project setup forms and tracking to completion.
  • Collaborate with sales and escrow to ensure the system is updated with the appropriate sales and design team personnel.
  • Track the frequency of options change requests, providing valuable insights into trends and areas for improvement.
  • Collaborate with all relevant teams to address recurring issues and contribute to process enhancements.
  • Assist the purchasing team with various aspects of purchase order processing beyond just option-related tasks.
  • Willing to be an active participant in all training opportunities to enhance overall proficiency in purchasing and the homebuilding process as a whole.

Additional Requirements

  • College degree not required but preferred.
  • Strong willingness to learn and great work ethic.
  • Excellent communication and interpersonal skills.
  • Ability to organize, prioritize, multitask, be flexible, and meet deadlines.
  • Able to work independently and as part of a team.
  • Strong attention to detail.
  • Intermediate level experience in Microsoft applications, including Word, Excel, Outlook, and PowerPoint.
