Essential Duties and Responsibilities:

  1. Billing and Payable Processing: Complete billing invoices for various contract types, including lump sum and Cost Plus contracts. Process monthly Pay Applications to Owner and provide additional owner-required reporting within established deadlines.

  2. Job Cost Review: Review job cost activity to ensure accurate coding and manage AP invoice imports, including AIA invoices and lien waivers from vendors and subcontractors.

  3. Documentation Management: Clarify questionable invoices, obtain proper approvals, documentation, and coding on all invoices, including cost revisions and change orders from Project Managers.

  4. Project Setup and Integration: Set up projects in the accounting software, import estimates from Accounting Software to Project Management Software, and establish Schedule of Value (SOV) and original budget.

  5. Financial Coordination: Coordinate ERP integrations for purchase orders, contracts, and change orders, resolve errors, and confirm with Project Management. Follow up on outstanding receivables and manage subcontractor lien waiver collection and review for accuracy and completeness.

  6. Accounts Reconciliation: Routinely reconcile job cost and A/R accounts, provide monthly billing accruals, and manage accounts receivable proactively.

  7. Reporting and Coordination: Prepare checks for internal petty cash, collaborate with project personnel to prepare all required project reporting, and participate in cost review meetings with the project team.

  8. Compliance and Risk Mitigation: Coordinate document review with the project team to ensure subcontractor compliance and mitigate the risk of financial default.

  9. Cash Flow Management: Coordinate timely payments within contractual and statutory provisions for positive cash flow.

  10. Project Closeout: Perform project close procedures, assist with archiving project and AP files, and handle other project accounting-related duties as requested.

Minimum and Preferred Qualifications:

  • High School diploma or equivalent; College Degree in Accounting or related discipline preferred.
  • Minimum 5 years of work experience, including at least one-year industry-related accounting experience.
  • Ability to work independently, prioritize workflow, and provide accurate and timely support to projects.
  • Ability to obtain notary in the state where you work.
  • Demonstrated problem-solving, critical thinking, and customer service skills.
  • Proficiency inCMiC, Sage experience required
  • Proficiency in Microsoft Suite, Excel, and PDF editing (Adobe, Bluebeam).
  • Knowledge of construction accounting principles.
  • Understanding of AIAbilling forms for client billings and basic knowledge of AIA Contracts, or willingness to gain proficiency.
