Job Summary: As an Assistant Property Manager, you will play a crucial role in supporting the efficient and effective management of our commercial properties, contributing to the overall success and growth of our company. You will work closely with the property management team to ensure our properties are well-maintained, tenants are satisfied, and operational processes are optimized, and projects are completed in a timely manner. You will be responsible for identifying high priorities and managing them effectively. Communicating action items seamlessly across the organization. Assisting with a variety of tasks that contribute to the company's overall efficiency and success. The ideal candidate is a proactive problem solver, an excellent communicator, and a master of multitasking
Responsibilities:
- Assist in the day-to-day management of commercial properties, including tenant relations, lease agreements, and rent collection.
- Conduct regular property inspections to ensure properties are well-maintained and identify areas for improvement.
- Coordinate with maintenance and construction teams to address property repairs, improvements, and renovation projects.
- Prepare and maintain accurate records related to property maintenance, tenant communications, and financial transactions.
- Assist in budgeting and financial reporting, tracking expenses, and ensuring the financial performance of properties.
- Respond promptly to tenant inquiries and concerns, maintaining positive tenant relations and addressing issues professionally.
- Managing calendar, appointments, and maintenance schedules, ensuring efficient time management and coordination of meetings and events.
- Prepare and organize materials for meetings, conferences, and presentations; take meeting minutes when necessary.
- Prioritizing communication while maintaining a high level of professionalism and confidentiality.
- Coordinate and facilitate internal and external communications, including phone calls, emails, and written correspondence.
- Assist with research, data analysis, and information gathering to support decision-making processes.
- Collaborate with cross-functional teams to ensure projects and initiatives are on track and deadlines are met.
- Handle expense reports, invoices, and financial documentation accurately and in a timely manner.
- Support special projects, events, and other tasks as required to contribute to the teams effectiveness and the company's growth.
- Collaborate with leasing teams to ensure vacant spaces are marketed effectively and leased in a timely manner.
- Support the implementation of property management policies and procedures to enhance operational efficiency.
- Participate in property management meetings and provide valuable insights to contribute to strategic decision-making.
Qualifications:
- Bachelor's degree in Business, Real Estate, Property Management, or a related field (preferred but not required).
- Exceptional organizational skills with the ability to manage multiple tasks and priorities simultaneously.
- Strong verbal and written communication skills; impeccable attention to detail.
- Proficiency in Microsoft Office Suite/Google Suite and other relevant software.
- Discretion and understanding of confidential information; ability to handle sensitive matters with professionalism and integrity.
- High level of adaptability and a proactive approach to problem-solving.
- Professional demeanor and the ability to represent the company to external parties.
- Prior experience in property management, real estate, or related industries is a plus.
- Proficiency in property management software
- Basic knowledge of lease agreements, property maintenance, and financial management.
- Ability to work effectively in a collaborative team environment.
- Customer-centric attitude with a focus on tenant satisfaction.
