KROC CENTER MISSION

In keeping with the mission of the Wisconsin & Upper MI Division of The Salvation Army, The Ray and Joan Kroc Corps Community Center located in Green Bay, WI provides facilities, programs and services that strengthen, encourage, and enrich children, adults, and seniors through positive life-changing experiences.

Job Objective:

This 25 hour/week position assists with the responsibilities and functions of the office of the Director of Programs. This includes highly private and sensitive matters relating to personnel, program, and office procedures. The position operates with a high degree of independent judgment and maintains a close and highly responsive relationship to daily activities of aquatics, fitness, sports, arts, and education.

Essential Functions:

  1. Assist the Director of Programs in professional and confidential communications as directed and/or appropriate
  2. Correspond on behalf of the Director of Programs with both internal and external stakeholders: board members, Officers, staff, donors, community members, government officials, and individuals served, as directed.
  3. Manage Director of Programs calendar, contacts, filing system, and other areas as requested.
  4. Assist with the coordination and management of meetings, minutes, reports, and necessary statistics for program department as requested.
  5. In conjunction with applicable departments, assist with maintaining of registrations and records for enrollment of programs and activities.
  6. As requested, prepare and process requisitions for Divisional/ Territorial Headquarters, as needed or requested through EDA procedures.
  7. Assist with pick-up and delivery of mail and supplies on the mail run as needed.

Minimum Qualifications:

The requirements listed below are representative of the minimal education, experience, skills, and/or abilities required for this position.

Education: High school diploma or equivalent required. Associate's Degree from in business administration, communications, or related field is a plus.

Experience: Two (2) years' work-related experience as Administrative Assistant.

Any equivalent combination of training and experience which provides the required knowledge, skills, and abilities.

Certifications: Applicant must possess a valid Wisconsin Driver's license with clearance to drive from The Salvation Army's insurance carrier. CPR/AED/First Aid certification to be obtained within first 60 days of employment.

Skills/Abilities:

  • Proficient with Microsoft Office Suite (WORD, Excel, PPT, Teams, Outlook).
  • Attention to detail and ability to work with minimal supervision in a team environment.
  • Ability to work proactively on several projects at the same time.
  • Excellent verbal and written communication skills, to include the ability to speak, write and understand English in a manner sufficient for effective communication with leadership and other personnel.
  • Capable of structuring routine and sensitive correspondence.
  • Ability to relate to people in a courteous and professional manner with excellent interpersonal skills.
  • Willingness to continue education and learn new computer applications, as needed.
  • Experience with office equipment: Fax Machine, Copy Machine, and Scanner.

While performing the duties of this job, the employee is normally required to use a computer terminal and other office equipment. The position requires long periods of sitting, and close visual examination of computer products. There will be some standing, bending, carrying of light items such as papers, books and small packages. The position is occasionally expected to help set up rooms for meetings and special events. The position requires the ability to walk; use hands to finger, handle, or feel objects, tools or controls; reach with hands and arms; climb stairs; balance; stoop, kneel, crouch or crawl; talk or hear; taste or smell. The employee must occasionally lift and/or move up to 40 pounds. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

Travel: Regular local travel between facilities of The Salvation Army of Greater Green Bay is required, as well as very occasional out of town travel to conferences and continuing education opportunities as required or requested by The Salvation Army.

Working Conditions: The majority of this job is performed in a typical office setting; however, this job is performed in a busy community center with variable noise level and temperature. The duties of this job will be performed in various settings within a community center including a typical office setting, gymnasium, game room, and aquatics center where conditions may be loud or quiet, as well as cooler, warmer, or more or less humid than a normal office environment.

For other duties of this job, such as outdoor special events and community center activities, the employee may be exposed to weather conditions prevalent at the time. The noise level in the work environment outdoors is usually moderate to loud.

The position requires the ability to work a flexible schedule that may include weekdays, weeknights, weekends, and holidays.
