Reports to: Director, Human Resources
Status: Non-Exempt
Location: Arlington Administration Building
Schedule: Monday - Friday, 8:00am - 4:30pm
SUMMARY
The Human Resources Assistant is responsible for day-to-day transactional, administrative, and clerical HR functions. The assistant follows and administers policies, procedures, and processes to ensure the organization is in compliance with all applicable laws and regulations, as well as provides exceptional customer service to all agency employees. The position reports to the Director, Human Resources and provides support to HR function, including the CHRO, HR Manager and HR Partners.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Data Entry:
Enter and update employee information and status changes in HR databases, spreadsheets, and forms, including Excel, Dayforce, DynaFile and DocuSign
Ensure correct employee information entered into HRIS/payroll system for new and current employees, including position-related information, earnings, direct deposits, deductions, government reporting fields, etc.
Create and process HR-related reports within HRIS and other systems
Compliance:
Complete background checks for new staff, volunteers and interns.
Within stated timeframes, process HR responses and requests for documents and information from attorneys, government agencies, and funders, e.g., UI, disability, WC claims, Social Security and EE SSDI requests, Wage Statement of Earnings, Income/Employment Verifications, employment status letters and phone verifications, verification of current and previous employment at agency, and miscellaneous correspondence.
Serve as a backup and support the Benefits and Compliance Assistant in producing various HR reports periodically and as requested, such as monthly auto insurance, and clinician/nurse/driver's licenses renewals due check; annual TB test reports; data required by governmental agencies , etc.; and facilitate communication with supervisors and employees.
Assist with creating standard operating procedures for clerical, data entry and training responsibilities.
Clerical:
Scan documents into appropriate employee files, using DynaFile.
Make photocopies, fax documents, and perform other clerical functions.
Review and process HR-related invoices; review invoices for accuracy; reconcile monthly billings, and resolve discrepancies to ensure accuracy and timely payment.
Respond to general HR requests and questions as appropriate.
Serve in pool of back-up for receptionist, as needed.
Learning and Development:
Enroll all new hires in Relias learning management system; act as point of contact for Relias-related questions and support issues.
Coordinate New Employee Orientation (NEO) and other trainings, including scheduling, catering, room set up and tear down; create NEO binders for new employees.
Coordinate and conduct portions of NEO on an as-needed rotating basis along with other Human Resources team members.
Schedule and coordinate CPR classes.
QUALIFICATIONS
High School diploma or GED or an equivalent combination of education and experience required.
Minimum one year work experience in Human Resources required.
Knowledge of or ability to learn to work with HRIS databases and systems, including Dayforce, DynaFile, Relias, and DocuSign.
Able to maintain confidentiality and exercise good judgment in sensitive situations.
Able to be precise, thorough, and detail-oriented.
Able to manage multiple tasks and responsibilities and meet deadlines.
Strong organizational and written and verbal communication skills.
Exceptional customer service orientation.
Basic skill in math.
Able to demonstrate proficiency in MS Office, including Excel, Outlook and Word.
Minimum 30 WPM typing speed preferred.
Able to obtain and maintain CPR/First Aid certification.
Bilingual Spanish is a plus.
WORK ENVIRONMENT
Primarily indoor office environment.
On occasion drive or transit to different local sites.
Regularly required to sit, stand, bend and occasionally lift or carry up to 15 pounds.
May necessitate working in busy and loud environments.
May be exposed to elements like cold, heat, dust, noise, and odor.
May need to bend, stoop, twist, and sit throughout the day.
