Summary: The Executive Assistant will be instrumental in providing administrative support to the Chief Operations Officer and other key management staff. This is a salaried exempt-level position. This individual will interact with staff from throughout the company and board members. This is a full-time, exempt level position.
Qualifications/Requirements:
- Previous experience as an Executive Assistant preferred.
- Must have excellent written, organizational, and interpersonal communication.
- Ability to prioritize and manage multiple assignments to meet deadlines with efficiency and accuracy.
- Excellent attention to detail and exceptional follow-through on assignments.
- Must be flexible and adaptable to rapid changes in the daily work environment.
- Proficient with Microsoft Computer Software with excellent computer skills.
- Strong work ethic and mature demeanor; must be reliable in attendance and punctuality.
- Ability to manage multiple priorities and have a high level of personal motivation.
- Submit to and successfully complete DOEA background check and drug screening.
- Must have a valid Florida driver’s license.
Essential Functions:
- Maintains Executive’s daily calendar; schedules appointments; makes travel arrangements.
- Provides essential interface with board of directors: scheduling meetings, maintaining correspondence, etc.
- Prepares necessary background materials for Executive’s scheduled meetings, including organization of agenda notices and ensures proper distribution; composes, prepares a variety of basic correspondence for Executive’s approval and signature, forms, reports, and spreadsheets, and tables.
- Receives and screens telephone calls, reviews voice mail messages and if necessary, makes proper referrals to other staff members, and/or provides appropriate and timely response.
- Receives mail and administers organizational correspondence control daily, including review and independent response or takes appropriate action when possible.
- Other duties as assigned by the supervisor.
Working conditions/Physical Requirements:
- Business hours are Monday through Friday, 8:30 a.m. – 5:30 p.m.
- Must be able to remain in a stationary position frequently.
- May require sitting at a computer for up to 8 hours a day and operating computer and other office equipment such as copy machines and printers.
- Frequently will move about the office to access file cabinets, office equipment, etc.
- The person in this position may occasionally move equipment weighing up to 50 pounds for various needs.
