Job Description

Position Title: Front Desk Clerk

Reports to: Site Manager

Summary:

Perform administrative duties utilizing specific knowledge of medical terminology and exam procedures. Duties include scheduling appointments, registering patients, and compiling and recording medical charts, reports, and correspondence.

Duties and Responsibilities:

  • Registers patients, verifies insurance, makes copies of appropriate documents, performs data entry into the medical system and scans documents for record keeping.
  • Provides excellent customer service to patients by demonstrating a caring attitude, goes out of the way to assist them, help patients complete paperwork as necessary and diffuses upset patients seeking supervisory assistance when needed.
  • Be knowledgeable about patient preps and be able to communicate them to patients.
  • Work with technicians and assist them as needed.
  • Verify doctor's orders, makes sure any labs or prep that is required is complete, attaches lab results and any other previous exams to patient's chart.
  • Collects payments from patients, provides receipts, makes payment plans as needed, balances and closes out the transactions at the end of the day. Submits all documentation to Accounting and follows all cash protocol procedures.
  • Answers telephones and directs calls to appropriate staff. Calls and confirms patient's appointments. calls no show appointments and reschedules as appropriate.
  • Greets visitors, ascertain purpose of visit and directs them to appropriate staff. Ensures lobby is prepped an ready to welcome patients.
  • Operates office equipment and use word processing, spreadsheet and other software applications to prepare reports, invoices, letters, case histories and medical records.
  • Interviews patients to complete documents, case histories and forms such as intake and insurance forms.
  • Receives and routes messages and documents such as laboratory results to appropriate staff.
  • Compiles and records medical charts, reports and correspondence, using computer, transmits correspondence and medical records by e-mail or fax.
  • Performs various clerical and administrative functions. Performs other duties as assigned.

Education and Experience:

  • High school diploma or equivalent
  • Minimum of one (1) year experience working in a medical related office
  • Experience and knowledge in handling telephones, computer terminals, monies and patient records
  • Medical terminology preferred
  • Computer proficiency required
