Job Description

Summary: The Assistant Project Coordinator is responsible for supporting the Project Coordinator and Electrical Group Manager, as well as administrative, data entry, contract coordination, and clerical support to the business.


Reports to: Electrical Group Manager


Essential Responsibilities

1. Assist the Project Coordinator and Managers with day-to-day operational issues.

2. Phase Codes, Change Orders, Purchase Orders

a. Keep jobs/budgets up to date

b. View Point: Load estimated budget and costs

3. Job Cost Reports: Compiling job cost reports on open projects. Assist with gathering initial cost information for completed jobs to start the billing process (with assistance from PM).


4. Pre-Job: Scan and save all contracts and purchase orders into our job inquiries folder and record them on the master Excel matrix file. Collect and coordinate with the Manager for review and approval.

5. Track all Clients' COI requirements.

a. Keep COIs up to date

6. Track and maintain the Bonding Log. Unions, Prebid, Performance, etc.


7. Electrical Services support:

a. Maintaining Electrical licensing

b. Requesting, tracking, maintaining, and closing out all permits and inspections. Tracking and processing all ESCROW payments.



Required knowledge:

Computer hardware and software, including Microsoft Office (Windows, Word, Excel, Access, and PowerPoint). Prior knowledge of Viewpoint (Vista) software is a plus.


Skills and Abilities:

  1. Must be exceptionally dependable.
  2. Must possess excellent oral, written, and interpersonal communication skills.
  3. Ability to handle sensitive information with the highest degree of integrity and confidentiality.
  4. Must possess the ability to convey a professional image, as well as effectively represent the organization as appropriate.
  5. Proficient in MS Office (Word, Excel, and PowerPoint), Access, and Graphics skills would be a plus.
  6. Outstanding organizational and clerical skills.
  7. Ability to meet deadlines.
  8. Flexible and enjoys handling a variety of tasks.
  9. Ability to work courteously and cooperatively with peers, customers, and Supervisors.
  10. Ability to establish priorities, work independently, and proceed with objectives without supervision.
  11. Must be adaptable and a quick learner

Formal Education/Experience:

Minimum High School Diploma or GED - College Preferred. Entry Level Position - Training Provided.


Unusual Working Conditions, if any

  1. Must be able to work at a computer terminal for 6-8 hours a day, and function in an environment with interruptions.
  2. Must be able to lift twenty (20) pounds.
