JOB PURPOSE:

Under general supervision and direction of the Director of Support Services, performs a range of associated administrative support and customer service activities, requiring advanced or specialized knowledge and skills of on-campus housing management. Plans and performs the day-to-day administrative and operational activities of a narrowly defined program. Coordinates and facilitates program functions and/or special events, as appropriate. Provides specialized support to specified administrative activities across multiple organizational units within the department

JOB DUTIES & RESPONSIBILITIES:

  • Performs a range of diverse administrative activities for the organizational unit, including administrative support in the development, implementation and marketing of a specialized and narrowly-defined program or project.
  • Coordinates the leasing, check-in, and check-out process for residents.
  • Coordinates regular inspection and cleaning of housing. Ensures that maintenance request orders made by residents are completed.
  • Maintains a database of each resident's housing assignment, repairs and billing status.
  • Familiar with contracts or accounts services.
  • Serves as a liaison between residents, housing administrators, other departments, and/or external constituencies in relation to day-to-day programmatic, operational and administrative issues.
  • Provides specialized support for faculty housing requests or needs.
  • Assists in administrative problem solving, program planning, development and execution of stated goals and objectives.
  • Utilizes knowledge and understanding of operational issues to create, compose, and edit administrative correspondence and documentation; may compile data and reports.
  • Provides support in the development, implementation and marketing of a program function.
  • Serves as a designated back-up for other department personnel.
  • May supervise and train staff, student employees, volunteers, and/or interns, as appropriate.
  • Serves as Faculty Housing Authority as outlined by the Clery Act.
  • Performs miscellaneous job-related duties as assigned.

MINIMUM QUALIFICATIONS/REQUIREMENTS:

  • Working on a college campus or academic setting
  • Associates Degree
  • 2 years of experience directly related to the coordinator duties and responsibilities specified.

PREFERRED QUALIFICATIONS/REQUIREMENTS:

  • Jenzabar Certified
  • Proficient in Microsoft Office, Excel and Outlook
  • Knowledge and proficiency report writing and communication
  • Excellent written and verbal communication skills
  • Must have a customer service driven mindset
  • Ability to communicate effectively and present information to all levels of internal and external customers.

KNOWLEDGE, SKILL AND ABILITY REQUIREMENTS:

  • Be an effective communicator with excellent interpersonal and written/oral communication skills, and
  • Demonstrate management and organizational skills, including a willingness to explore new paradigms to improve the quality of Faculty Housing;
  • Knowledge of higher education processes.
  • Understanding of and commitment to the philosophy of tribal community Universities.

PHYSICAL DEMANDS:

  • While performing the duties of this job, the employee may be required to sit for prolonged periods, walk and stand.
  • Use of hands for dexterity of motions, repetitive movement of both hands.
  • Have normal auditory, visual acuity, and verbal communications skills.
  • The employee must occasionally lift and/or move up to (25) pounds.

WORK ENVIRONMENT:

  • Work is generally performed on a university Campus setting.
  • Tight time constraints and multiple demands are common.
  • Evening and/or weekend work may be required. Extended hours and irregular shifts may be required.
