Executive Assistant to Director
Full time hours
Pay starting at $27.06/HR depending on experience.

In this role the Executive Assistant will work closely with the Director and Executive Officer as a member of the Executive team and will primarily be responsible for providing essential administrative support, communication, and coordination between the Director’s office, a diverse group of experts, the public and other departments.

Duties and Responsibilities:
  • Provide executive administrative support for the Director. Maintain Director’s calendar and schedule with faculty, staff, and external relationships.
  • Plan and manage projects delegated by the Director, including coordination of special events, virtual conferences, and ongoing IARC functions and meetings.
  • Work with external visitors and groups supporting overall logistics of travel and other needs, to include audio/visual conference and meeting support.
  • Serve as point of contact/liaison between Director and administration, visitors, faculty, and staff (including tracking of visitors). Keeps the Director informed of emerging issues that need attention daily.
  • Track critical projects and take appropriate steps to ensure deadlines are met and necessary action occurs.
  • Make allowable purchases to support the Director’s Office supplies, computers, and copier support.
  • Records management for Director’s Google folder.
  • Manage the building conference room reservations for meetings and events, scheduling calendars, and provide some technical support for users.
  • Serve as the point of contact for faculty and staff office space coordination.
  • Coordinate CPR and other training for staff and faculty.
  • Provide support on renovation projects, redesigning of building space, and overall maintenance needs for IARC in the building.
  • Monitor the condition of the facilities, general upkeep of building, report unsafe building conditions. Maintain storage areas and organization of surplus.
  • Serve as 24-hour point of contact (POC) for all matters related to closure, maintenance, and outage issues.
  • Other duties as assigned.
Minimum Requirements:
  • Associate degree and two years of increasingly responsible experience as an Assistant to an upper-level administrator in a university, agency, or private sector setting or an equivalent combination of training and demonstrated experience.
  • Preferred-Two years of increasingly responsible experience as an Assistant to an upper-level administrator in a university, agency, or private sector setting.
  • Background will be viewed.
