We seek an Administrative Assistant to join our dynamic team of over 50 employees. We value driven, passionate individuals committed to long-term growth and success.

As our Administrative Assistant, you'll be the crucial liaison between our investment team and extensive client base, ensuring seamless communication and coordination to achieve investment goals. This role demands meticulous attention to detail, strong organizational skills, and adept prioritization in a fast-paced environment. We seek a candidate with advanced Excel skills and flexibility, ready to excel in a collaborative environment.

Responsibilities:

  • Uphold high standards of trust, confidentiality, good judgment, and collaboration.
  • Assist in preparing and distributing investment documents, reports, and presentations.
  • Coordinate meetings and appointments for the investment team, including client and partner scheduling.
  • Input, organize, and maintain confidential electronic and physical filing systems for investment-related documents and records. This includes ensuring accuracy and compliance with security protocols, managing client records, facilitating transitions to self-service applications within InvestNext for seamless onboarding and ongoing support, and aiding in automating the onboarding process within InvestNext software.
  • Manage communication channels, including phone calls, emails, and correspondence, ensuring timely responses and follow-ups.
  • Serve as the first point of contact for clients, providing exceptional customer service and assistance with inquiries.
  • Support special projects and initiatives assigned by investment team leadership.
  • Conduct general clerical duties and special projects as needed, including daily mail runs.
  • Provide assistance with independent judgment to determine priority tasks and facilitate communication.
  • Maintain calendars, schedule appointments, meetings, and conferences.
  • Exhibit excellent professional communication skills, both written and oral.

Experience and Qualifications:

Minimum 2 years of office experience required.

High school diploma or equivalent; college education preferred.

Strong communication skills (written & verbal) with exceptional attention to detail and customer service.

Proficiency in Microsoft Office Suite, particularly Word, Excel, and Outlook.

Team player attitude with exceptional multitasking and organizational abilities.

Commitment to maintaining strict confidentiality.

Advanced Excel experience is required.

Job Details:

Type: Full-time

Salary: $17.00 per hour
