Job Title: Purchasing Assistant or Assistant Purchaser
Supervisor: Plant Specialist
General Summary:
The Purchasing Assistant will provide administrative support for the Purchasing Department and the Plant Specialist.
These duties and responsibilities are plant-wide and coordinated with each department’s supplies requirements for essential plant production and support services. Effective communication and daily coordination with department supervisors are critical in the success of this position.
Essential Duties and Responsibilities:
· Support Plant Purchasing and the Plant Specialist with various administrative and clerical duties
· Prepares and processes internal purchase requisitions and supply requests from all departments
· Enter purchase orders into ORACLE
· Maintain organized records of purchase orders, requisitions, receiving reports, and other procurement documents
· Place orders with suppliers, confirm orders, communicate estimated ship dates and follow up with suppliers as needed
· Track orders to ensure timely delivery and maintain contact with suppliers to expedite purchases in critical situations
· Keep up to date records of all data relating to supplies and commodities such as lead time, description changes, purchase price, reorder quantity, etc.
· Assist in inventory control, monitoring stock levels and identify purchasing needs. (Packing supplies, Wood, PPE, Chemicals, Plant Inventory)
· Conduct market research to identify pricing trends and create cost analysis.
· Initiate and lead continuous improvement efforts to improve cost of goods
· Conduct quality checks on received goods, ensuring they meet the specified standards and requirements, identify any order discrepancies
· Work directly with Accounts Payable to resolve and avoid and all invoice discrepancies
· Prepare, maintain, and organize all records and/or documents for audit purposes and regulatory compliance
· Assist in improving and implementing a culture of safety throughout the plant.
· This role requires a keen eye for detail, strong organizational skills, the ability to multi-task, prioritize, and manage time effectively
· Strong computer skills and proficient with technology.
· Must be able to work independently without substantial guidance.
