Construction Assistant Project Manager

Job Description

The Assistant Project Manager (APM) role is an onsite project manager position. This position provides leadership to project teams and assists in decision-making that impacts project outcomes. The APM’s primary duty is to ensure the work is performed safely and organized, complying with the quality program and the initial specifications. An APM’s job is to guarantee Butler-Cohen’s commitment to building the right way and by the most cost-effective means while maintaining or improving the schedule and client relations.

The ideal candidate for the APM role is a polished construction professional with 3-5 years of experience who has worked on complex and high-dollar commercial construction projects.


Duties and Responsibilities:

  • Implement all safety policies and quality programs, ensuring strong performance on safety audits.
  • Establish and maintain a positive and professional working relationship with individuals at all company levels, including client representatives and subcontractors.
  • Assist in project control activities:
    • Review and issue RFIs for the project team.
    • Review and issue
    • submittals for the project team.
    • Monthly Pay App Packets for each project
  • Assist in estimating activities:
    • Project management in Procore
    • Organize, re-name, and upload drawings and documents to Procore.
    • Solicit for all trades by calling subcontractors at tender issuance, during the bid phase, and before the bid due date to ensure subcontractor receipt and intent to bid.
    • Qualify bids to ensure the scope of work is clear.
    • Develop relationships with subcontractors.
  • Assist in Project Management activities:
    • Assist in the management activities of subcontractors, vendors, and labor, maintaining strict control over the accuracy and quality of each work activity.
    • Develop and maintain a project contact list (including name, title, phone number, email, etc., for all owner, architect, engineer, subcontractor, and vendor contacts) and distribute it to the project team regularly.
    • Coordinate, schedule, and maintain superintendent and subcontractor site-specific orientation training.
    • Identify and report problems or deficiencies to the Project Manager
    • Document on-site activities that may impede progress or compliance with project/contract requirements.
    • Review and assist in developing change orders with the Project Manager before execution and make miscellaneous purchases with the Project Manager’s approval.
    • Review and draft subcontract agreements and ensure the subcontractor’s scope aligns with project requirements.
    • Assist in preparing project status reports by ensuring the superintendent provides daily reports and photos.
    • Maintain open communication and goodwill with the Owner's representative by coordinating pertinent work activities, attending project progress/scheduling meetings, and understanding the client’s expectations.
    • Assist in developing and maintaining a Critical Path project schedule.
    • Review and maintain a current, complete set of project documents, blueprints, revisions, specifications, and related items.
    • Assist scheduling, coordinating, and supervising subcontractors on site and performing work in accordance with scopes of work and drawings, specifications, and adhering to OSHA regulations, state laws, and generally accepted industry standards for maintaining a safe working environment.
    • Assist with maintaining project files, organization, and distribution to the project team.
    • Review submittals and shop drawings to ensure compliance with contract documents.
    • Coordinate and inspect field construction work for compliance to plans and specifications.
    • Assist in the project closeout process; ensure all subcontractors and vendors submit all required documentation; develop close-out binders, including as-built drawings, owner’s manuals, etc.
    • Multitask and handle the multitude of issues that arise daily on a construction project.
    • Receive, evaluate, coordinate, and ensure completion of warranty items during the project warranty phase.

Skills/Abilities Required:

  • Must have the ability to work flexible hours, including weekends.
  • Willingness to travel in the market and/or relocate based on project location.
  • Able to work in all elements of the outdoor environment, including heat, cold, rain, snow, and wind.
  • Able to access the entire job site, including stairs, scaffolding, ladders, elevation changes, etc.
  • Can work physically, including kneeling, sitting, standing, squatting, and bending over.
  • The ability to establish and maintain a positive and professional working relationship with individuals at all company levels, including client representatives and subcontractors.
  • Must be able to work and perform duties with minimal supervision and have extensive problem-solving skills.
  • Must have basic computer skills, including Microsoft Office Suite and Project Management software (Procore preferred).
  • Strong working knowledge of all project documents, including specifications, plans, submittals, subcontracts, shop drawings, and other project-specific documents.
  • Knowledge of local quality, safety, and health guidelines for construction job sites.
  • Working knowledge of OSHA requirements and OSHA site visits.

  • Construction Project Management: 3-5 Years (Preferred)
