Position Title: Catering Sales Coordinator

Department: Administration

Status: non-exempt

Reports To: Director of Sales & Catering

POSITION SUMMARY

Provides support to Director of Sales and Catering, Director of Member Services and other Department Leaders as needed. Processes and produces the work necessary for efficient office operations and functions while interacting with the Clubs members and visiting guests. The ideal candidate will be well organized and comfortable dealing with financial data. This individual will be responsible for overseeing events billing , answer phone calls, and assist management in other aspects of the business.

ESSENTIAL DUTIES AND RESPONSIBILITIES

The following duties are normal for this position. This list is not to be construed as exclusive or all inclusive. Other duties may be required and assigned.

  • Types, assembles, copies, files, and otherwise processes data required for The Club in an accurate and timely manner.
  • Proficient in Microsoft Office
  • Previous Experience with Reserve Cloud and Club Essential or be willing and able to be self-taught through tutorials.
  • Ability to utilize various design software.
  • Strong communication and organization skills
  • All work required per the job description
  • Proofreads memos and correspondences for spelling, grammar, content, and layout, making appropriate changes/ suggestions, responsible for accuracy and clarity of final copy.
  • Exercises discretion and ability to make independent decisions.
  • Ability to formulate, affect, interpret, and implement policies and/or operating practices.
  • Organizes and maintains file system and files correspondence and other records.
  • Carries out telephone answering, and reception duties as required and deliver messages to the proper recipient.
  • Post Banquet Event Order updates and menus
  • Coordinates schedules and makes appointments.
  • Greets scheduled visitors and directs to appropriate area or person.
  • Post catering and sales billing into back-office accounting system on an approved cycle to ensure proper accounts receivable
  • Performs other duties as assigned by Department Heads
  • Support Banquet Service department if required

QUALIFICATIONS

  1. Language Ability:
  2. Ability to read and comprehend simple instructions, short correspondence, and memos.
  3. Ability to write simple correspondence.
  4. Ability to effectively present information in one-on-one and small group situations to members, and other employees of the organization.
  5. Ability to read and write using English language.
  6. Must demonstrate excellent telephone communication skills.
  7. Mathematical Skills:
  8. Ability to add and subtract two-digit numbers and to multiply and divide with 10's and 100's.
  9. Ability to perform these operations using units of American money and weight measurement, volume, and distance.
  10. Cognitive Demands:
  11. Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions.
  12. Ability to deal with problems involving a few concrete variables in standardized situations.
  13. Computer Skills:
  14. Ability to use Microsoft Windows, including Word and Excel. Ability to use email and the Internet.
  15. Demonstrates general office skills such as use of copy machine.
  16. Must possess the ability to accurately type 45-50 wpm (95% accuracy).
