The Team and Job Summary 


We are seeking an Administrative Analyst to join our Construction Advisory team.  This is a unique opportunity for an entrepreneurial, highly driven person with a well-rounded skill set to join the team in Spain. This person will be supporting multiple members of our executive team. The ideal person for this role will need to not only have a strong grasp of administrative tasks, having worked in construction projects, but also be flexible and a strategic thinker able to take on a variety of tasks.

 

Your main responsibility will be to work within a project team to support our growing business. We are looking for a person with strong Office skills (Excel, Word, PowerPoint, among others) and who is enthusiastic to go deep and support our most demanding projects.

 

Job Responsibilities 


  • Manage project documentation from initial delivery, subsequent deliveries, and follow-up of requested and received documentation.
  • Follow-up, control, and management of communications.
  • Support documentation and data of the bids and projects, keeping records on the type of projects offered, projects executed, and all miscellaneous data related to the projects.
  • Assist in the management of databases of all projects, supporting the process of standardization and continuous improvement of documents, in Word and PowerPoint presentations as well as other systems.
  • Collaborate with the team in the continuous improvement of reports, helping in the elaboration and control of information required to obtain the best possible results.
  • Assists the project team in the search for relevant data and/or information for the development of the required analysis.


Required Qualifications


  • Bachelor’s degree from an accredited college or university or equivalent experience.
  • Experience working for construction, engineering or architecture firms.
  • Strong written, verbal, and interpersonal communication skills, with a high level of attention to detail and meticulous follow-through.
  • Ability to follow directions, multitask, and work both quickly and independently within a framework in which priorities often shift and/or conflict.
  • Proficiency in Microsoft Office Suite is required with special emphasis on Excel and with the ability to embrace new technology.
  • Willingness to work collaboratively as a team member with a positive, can-do attitude.
  • English and Spanish language proficiency (at least C1 level).
  • Attention to detail with the ability to work in a fast-paced environment.
  • Excellent verbal and written communication skills in both English and Spanish.
  • Demonstrated ability to maintain confidential and sensitive information.


Preferred Qualifications 


  • Relevant work experience in a professional services organization supporting senior management positions in a large organization.
  • Training/Courses in Microsoft Office packages.
  • Knowledge of MS Project and Primavera P6.


Physical and Mental Job Qualifications


  • Prolonged periods sitting at a desk and working on a computer.
