ABOUT CITYWALK BHAM:

The recent completion of Birmingham’s I-59/20 Central Business District (CBD) Interstate bridges brings about a renewed focus on the space underneath the bridges known as City Walk BHAM. The goal of City Walk BHAM is to provide a space to assist in reconnecting Birmingham and create a destination and common area open to all citizens.

City Walk BHAM spans 10 city blocks, from 15th St N to 25th St N – almost a mile in length. The entire area encompasses 31 acres, which will provide a space to assist in connecting Birmingham. For more information visit www.bjcc.org

Summary/Objective
Under the supervision and guidance of the Director of Public Relations and Community Partnerships, the Sales Coordinator is responsible for receiving City Walk use inquiries, reviewing, tracking, issuing, and receiving license agreements and insurance certificates, entering Concentrics City Walk BHAM use opportunities, working with prospective users on fees, license agreement terms and other parameters in keeping with City Walk BHAM standards.

This position will serve to assist with completing additional requests, special projects, or tasks as assigned by the director to fulfill the department’s goals and objectives, including acting on behalf of or in support of the department head as required. This role will provide integral support to both the sales and the administrative functions of City Walk BHAM associated with receiving, reviewing, tracking, and executing licensed use of City Walk BHAM while also providing support to the Director.

Essential Duties/Responsibilities

Demonstrates understanding and full performance ability in each of the following:

  • With Director oversight, responsible for scheduling licensed use of CityWalk BHAM.
  • Maintains an efficient workflow to receive and process interest in the utilization CityWalk BHAM beginning with information provided on the website and web-to-lead form optimization through communication of calendar availability, usage fee review, and license agreements.
  • Ensures that all communication with prospective users is accurate, clear, and consistent.
  • Maximizes utilization of all venues by managing the event and program calendar within established utilization priorities.
  • Provide professional and timely responses to external organizations, agencies, departments, and individuals.
  • Maintains the integrity of City Walk BHAM in all forms of communication and personal contacts.
  • Coordinates site visits with clients, internal staff, and event organizers.
  • Generates the lead notes, quotes, contracts, and invoices using Monday.com, PandaDoc, Stripe, and Concentrics. Once complete, then turn over the event to the City Walk Event Manager or Program Coordinator to execute the event.
  • Continually advises and updates the Director of City Walk Public Relations and Community Partnerships on ALL interests in the use of City Walk BHAM.
  • Develop the City Walk BHAM standard operating procedure “playbook” of the licensing processes from start to finish.
  • Tracks sales, and market research and generates reports for the Director.
  • Develop relationships with event organizers.
  • Maintains and updates the databases of Monday.com, PandaDoc, and Concentrics
  • Performs additional supportive functions and is responsive to the director’s and department’s needs. This may include additional projects or tasks such as drafting correspondence, creating templates, handling communications for the department, arranging appointments, file management oversight, and filling in for additional assistance when needed at the City Walk BHAM venue.
  • Willing to assist with new proposed projects for CWB.
  • The ideal candidate will be a proactive team player, capable of collaborating effectively with the director, the City Walk BHAM staff, and colleagues across the City Walk BHAM sphere to achieve shared goals and objectives.
  • Demonstrates flexibility and readiness to support the directors and department’s objectives and priorities.
  • Performs other duties as required at the direction of the Director.

Work Environment

This environment is fast-paced and moderately demanding. This position may have a moderate to extensive stress level associated with dealing with crowds of public visitors. Most of this work is typically performed indoors, in a temperature-controlled office setting, however, some work will be performed outdoors exposed to the elements (heat, rain, etc.). This includes site visits with clients, CWB tours, as well as the rare request to be a resource for a City Walk BHAM event.

Physical Demands

Duties require extended periods of sitting. Moderate amount of physical effort such as walking, standing, and climbing. Limited amount of bending, stooping, squatting, and kneeling. Ability to lift to 30 lbs. with or without assistance, while maintaining good balance. Must be flexible enough to reach above shoulder level and be able to push and pull for brief periods of time. Visual acuity, speech recognition, and speech clarity. Willingness to walk long distances or drive a company golf cart or vehicle.

Position Type/Expected Hours of Work
This is a full-time position; hours of work must be flexible and varied to meet the demands of the events of the facility. Must be able to work extended and/or irregular hours including days, nights, weekends, and holidays, as needed.

Required Education and Experience

  • Minimum of three (3) years related experience coordinating and executing sales and marketing strategies in a convention, entertainment, performing arts, or hospitality organization preferred.
  • Bachelor’s degree from an accredited college or university with emphasis in marketing, mass communications, sales, business administration, or related fields preferred.
  • Valid State of Alabama Driver License.

Additional Eligibility Qualifications

  • Working knowledge of all areas of venue management, including but not limited to Sales, Marketing, Event Operations, Food & Beverage.
  • Expertise in calendar management for multiple types of venues with multiple tenants.
  • Strong negotiation skills.
  • Capable of working independently without continuous supervision.
  • Ability to build effective working relationships, both internally and externally, by representing City Walk BHAM and the BJCC in a professional manner in all endeavors.
  • Work effectively under pressure and/or stringent conditions while still producing accurate results.
  • Ideal candidate will have a professional, personable, and outgoing personality.
  • Proficient in presenting proposals and/or concepts to senior management for potential bookings and events.
  • Ability to prospect and negotiate license agreements to achieve sales goals.
  • Be flexible and adaptable.
  • Excellent oral communication, written communication, fluency in English, and active listening.
  • Ability to multi-task.
  • Ability to demonstrate critical thinking, time management, and deductive reasoning skills.
  • Must be extremely organized and detail-oriented.

  • Proficient in Microsoft Office software and other software, including Concentrics, Outlook, PowerPoint, Word, Excel, Monday.com, PandaDoc, and Teams.
