Organization Overview:

Minnesota Assistance Council for Veterans (MACV) is a statewide nonprofit organization with a mission to end Veteran homelessness in Minnesota. MACV provides comprehensive programs in the areas of housing, employment, and legal services to support Veterans and their families throughout Minnesota who are homeless or at risk of homelessness. MACV operates a budget over $17 million annually and has a team of approximately 120 employees throughout Minnesota. The organization has office locations throughout the state, with administrative functions centralized within a headquarters office based in St. Paul.

Position Overview:

The primary responsibility is to support the daily administration of operations of the site in order to provide a safe, well-maintained and socially healthy Permanent Supportive Housing community to Veterans exiting homelessness.


ESSENTIAL FUNCTIONS:


Property Management Admin


  • Prepares leases, lease violations, move-in and move-out checklists, and other documents as needed for the administrative functioning of the property
  • Reviews and saves camera footage when incidents are reported
  • Daily Camera Footage Review of Permanent Supportive Properties and Transitional Properties
  • Orders all Office/Cleaning Supplies on a Monthly basis for all MACV properties Statewide (PM's may send a monthly list)
  • Orders all Cleaning Supplies for Transitional Properties in the Metro
  • Maintains an organized system to stay on top of and ahead of ordering schedule
  • Utilizes and completes Expensify expense management with receipts to track expenses timely and in compliance with our Accounting team expectations
  • Compares calendars for Property Operations staff and schedules appointments as needed
  • Tracks monthly Rent Delinquency for all MACV Properties and generates Late Rent Notices, Rent increases, Lease expiration dates, and any other notices needed related to rent payments and important lease dates.


Finance Admin

  • Supports Finance Team in Finance Admin tasks as directed on an as needed basis


Compliance

  • Maintains appropriate confidentiality
  • Enters all resident data and documents into resident software, Salesforce, as needed

Facilities

  • Works with Senior Facilities Manager to take on any administrative tasks assigned
  • Assist Property Operations with scheduling vendor appointments for all MACV properties statewide
  • After completion of Statewide Quarterly Maintenance Inspections, transferring the Inspection Checklists into the Work Order Excel Spreadsheet set up by the Senior Facilities Manager
Requirements:

MINIMUM REQUIREMENTS

  • Working knowledge of Microsoft Office Suite, Outlook and Excel.
  • Two years' experience in an administrative assistant or secretary role
  • Knowledge and experience of Veterans Services preferred
  • Knowledge and experience of systems relating to those experiencing homelessness in the State of MN preferred

  • Ability to manage multiple projects or tasks.
  • Proficient office skills.
  • Willingness to learn.
  • Excellent communication and organizational skills.
  • Proficient on the computer.

PHYSICAL REQUIREMENTS

  • Occasional lifting to 25 pounds
  • Ability to sit for up to 8 hours at a time.
  • Ability to type.
  • Walking and stair climbing.
  • Quiet to moderate noise level.


Compensation details: 50000-55000 Yearly Salary
