NEW POSITION DUE TO BUSINESS GROWTH! Medical Billing Company is seeking a versatile Project Coordinator to provide comprehensive support to executives across different departments, ensuring the seamless tracking, communication, and completion of leadership projects.

This role combines project management with executive assistance duties, requiring exceptional organizational skills, effective communication, and the ability to manage multiple priorities efficiently.

This position may require some travel.

Duties and Responsibilities:

  1. Project Coordination:
  • Collaborate with executives to define project objectives, scope, and timelines.
  • Develop detailed project plans, including tasks, resources, and dependencies.
  • Monitor project progress and proactively identify and resolve issues.
  • Ensure projects stay on track by implementing effective strategies and adjustments as needed.
  1. Communication and Stakeholder Management:
  • Serve as a primary point of contact for executives and project team members.
  • Facilitate clear and timely communication between stakeholders.
  • Coordinate meetings, prepare agendas, and distribute meeting minutes.
  • Address inquiries and concerns from stakeholders promptly and professionally.
  1. Executive Assistance:
  • Provide high-level administrative support to executives, including calendar management, travel arrangements, and expense tracking.
  • Assist with preparing presentations, reports, and correspondence.
  • Manage confidential information with discretion and integrity.
  1. Documentation and Reporting:
  • Maintain accurate project documentation, including meeting notes, action items, and progress reports.
  • Prepare and distribute project updates and reports to stakeholders.
  • Analyze project data to identify trends, risks, and opportunities for improvement.
  1. Resource Management:
  • Coordinate resources, such as personnel, budget, and materials, to support project needs.
  • Optimize resource allocation to maximize project efficiency and effectiveness.
  • Monitor resource utilization and identify areas for optimization or reallocation.
  1. Continuous Improvement:
  • Identify opportunities to streamline processes and enhance project management practices.
  • Seek feedback from stakeholders to evaluate project performance and implement improvements.
  • Stay abreast of industry best practices and trends in project management and executive support.

Education and Experience:

  • Associate's degree in business administration, project management, or related field.
  • Minimum 2 years of experience in project management, executive assistance, or a similar role.

  • Strong communication skills, both written and verbal.
  • Ability to maintain confidentiality and exercise discretion.
  • Proactive problem-solving skills and ability to work effectively under pressure.
