Established in 1996, NOVA was originally founded to provide Environmental Consulting, Geotechnical Engineering, and Construction Materials Testing and Inspection services to the design and construction community, largely in the southeastern United States. NOVA Engineering is looking for an Administrative Assistant to join our team in Buford, Georgia. This position will provide administrative and business support to a team of engineers and field technicians specializing in structural and forensic engineering services.

Duties:

  • Assist clients and employees throughout the team; Maintaining calendars, coordinating extensive appointments, domestic travel and planning meetings.
  • Collaborate with marketing, accounting and operations departments to ensure workflow processes throughout the team.
  • Assist with editing and drafting of project invoices on a monthly basis.
  • Administer office services to achieve efficient and economical operations.
  • Assist with accounts payable.
  • Assist with proposal preparation for formatting and text
  • Responsible for assistance with new employee orientation, including coordination with Corporate Human Resources.
  • Responsible for financial processing, including timesheet, expense reports, work orders and draft invoicing.
  • Proofread work to assist technical and managerial staff.
  • Maintain department supplies through accurate inventory and purchasing.
  • Work closely with management to establish systems and procedures for delivery of services in a timely, efficient and cost-effective manner.
  • Maintain department and personnel certification and pre-qualification records, submitting applications and updates as required to keep current.
  • Set up projects, budgets and eventual billing.
  • Email invoices to clients.

Skills/Qualifications:

  • 3+ years of administrative experience, preferably in the Engineering, Construction, or Architectural industry (strongly preferred).
  • Solid knowledge of basic office procedures.
  • General understanding of revenue recognition (work in progress and unbilled reports).
  • Excellent computer skills (Microsoft Office software and the ability to learn NOVA’s internal software, including Metafield and Deltek Vantagepoint).
  • Strong communication skills, both verbal and written
  • Strong attention to detail and ability to check own work.
  • Fluency and Efficiency with Microsoft Office applications including Word, Excel, Outlook and Teams.
  • Experience with Deltek Vision or Vantagepoint software preferred, but not required.
