SUMMARY: While delivering innovative solutions, exceptional service and trusted results, the Program Assistant develops maintains control of front office reception area; greeting persons entering establishment, determine nature/purpose of visit, and direct or escort them to specific destinations. The Program Assistant coordinates schedules and provides overall administrative and program support, to include receptionist duties.


ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Greet persons entering the American Job Center of Nevada, determine nature and purpose of visit, and direct or escort them to specific destinations.
  • Provides exceptional customer service with the ability to confidentially listen and respond to customer needs.
  • Provide information about establishment, partner programs and services, community partners and general services provided.
  • Operate heavy telephone switchboard to answer, screen and forward calls.
  • Ability to prioritize flow of center and communicate efficiently to staff and customers.
  • Assisting customers to navigate through available resources.
  • Transmit information or documents for customers, using computer mail, or facsimile machine.
  • Able to provide technological support to customers that may have technologically challenged.
  • Schedule and set up orientation, conference and workshop rooms.
  • Ensures that the overall internal and external communications are streamlined and recorded in a timely manner.
  • Type letters, memorandum, flyers, newsletters and other office correspondence.
  • Assists with social media posts on multiple platforms.
  • Order and receive office supply inventory.
  • Utilize internal processes to ensure accurate tracking of center activities.
  • Oversee IT and technical challenges by reporting issues to relative departments for resolution.
  • Assist with onboarding and exiting.
  • Works with a team of professionals to ensure contract goals are achieved.
  • Able to attend and record accurate meeting minutes.
  • Assist with a variety of program related projects.
  • Ability to work on special projects in support of program goals.
  • Adheres to Federal, State and Contractor guidelines.
  • Ability to maintain professionalism at all times.

EDUCATION and/or EXPERIENCE:

  • Associate’s degree from an accredited college or university. The degree requirement may be substituted for four (4) years of professional work experience.
  • Ability to type 40wpm or greater
  • Experience with data gathering and input
  • Bilingual preferred but not required

OTHER SKILLS AND ABILITIES: Personal computer literacy required, including effective use of the Internet, e-mail, video conferencing (Zoom, Teams) and Microsoft Office (Word, Excel, PowerPoint and Outlook).

PHYSICAL DEMANDS: While performing the duties of this job, the employee is regularly required to walk, sit, talk and hear. The employee must occasionally lift and/or move up to 25 pounds.
