Summary

The Administrative Assistant to the Branch Manager is responsible for overall front office activities and will serve as back up to the parts/warehouse team, service writer, and rental department. The ideal candidate is a self-driven individual with a willingness to learn all aspects of the office.

Essential Functions

1. Manage information flow in a timely and accurate manner

2. Make travel and accommodation arrangements

3. Filing and maintenance of all branch documents

4. Ordering office and other miscellaneous supplies

5. Coordinate business parties, meetings, catering, Gold Rush Days, and Open House functions

6. Processing Southeast payroll; entering timecards and leave request information in payroll spreadsheet; submitting to P/R department, record keeping.

7. Help process new hire paperwork for HR.

8. Writing up deposits and seeing that they get to the bank in a timely manner; reporting deposits and department sales daily; monthly A/R statement mailing.

9. Posting point-of-sale batch daily; reviewing accounting end-of-day audit reports and making G/L corrections when necessary; monitoring customer A/R Aging making collection calls as necessary; finding and correcting costing and posting errors.

10. Coding accounts payable for local purchases and utilities.

11. Cash handling, petty cash reimbursements.

12. Scan and File PO’s

13. Assist shipping and receiving unloading trucks, checking in merchandise, matching purchase orders to sales orders and distributing to customers and other departments as needed.

14. Assist in counting of physical inventory monthly and annually.

15. Other duties as assigned

Education and Experience

1. High School Diploma

2. Two years of administrative assistant experience

3. Valid driver’s license and clean driving record

Physical Requirements

Requires use of typical office equipment such as a computer, laptop and cell phone. Most work is completed in an office environment. The employee will be required to stand, walk, bend and will occasionally lift up to 25 lbs.

Job Type: Full Time, Non-Exempt

Schedule:

  • 8-hour shift
  • Monday to Friday
  • Occasional Saturday
