Description:

As the receptionist, you will be the first point of contact for our company. Our receptionist’s duties include offering administrative support across the organization. You will welcome guests and greet people who visit the business. You will also coordinate front-desk activities, including distributing correspondence and redirecting phone calls.


Essential Functions:

  • Handle initial contact with customers either by phone and or in person; direct to the appropriate person or take message when necessary.
  • Performs designated clerical duties and maintains assigned records, files, and reports.
  • Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms, and brochures)
  • Receive, sort, and distribute daily mail/deliveries.
  • Maintain office security by following safety procedures and controlling access via the reception desk.
  • Order office supplies and keep inventory of stock.
  • Update calendars and schedule meetings.
  • Perform other clerical receptionist duties such as filing, photocopying, transcribing, and faxing.
  • Complete monthly expense report for loan officers.
  • Notarize and witness documents.
  • Assist customers and other departments as required with inquiries, requests for amortization schedules, auto-debit, fax, notary services, wire transfers and blue book values, clearing exceptions for property taxes, financials, tax returns, insurance, titles, etc.

Bank Secrecy Act Duties:

  • In the performance of respective tasks and duties, this position must maintain knowledge of Bank Secrecy Act regulations and all other regulatory, security, and Bank policies and procedures.

Company Conformance:

  • In compliance with all applicable regulations and Bank policies, this position is expected to successfully produce quality work within deadlines, with or without supervision; interact professionally with other employees, customers, and vendors, while always respecting the need for confidentiality of customer information. The employee will work effectively as a team contributor on all assignments and work independently while understanding the necessity for communicating and coordinating work efforts with other employees and organizations. Furthermore, the employee is encouraged to actively represent the Bank to customers and the general public in ways that promote the integrity, validity, and mission of the Bank by participating in community organizations, events, and activities. The employee is also expected to maintain a commitment to continuing education in the banking field through self-study and both in-house and outside training opportunities in all applicable banking policies, procedures, and regulations.
  • Regular and punctual attendance is expected, and appropriate attire is required at all times, while either performing job functions or representing the Bank at outside events and activities.

Qualifications

Education Requirements:

  • High school diploma or equivalent.

Experience Requirements:

  • One year of related experience

Preferred Qualifications:

  • One year of loan support or banking experience.
  • Ability to speak Spanish and English.


Knowledge, Skills, & Abilities:

  • Good basic math and typing skills.
  • Ability to use bank equipment, computer systems including PC applications using spreadsheet, word processing, and database software.
  • Excellent oral and written communication (including proofreading).
  • Ability to multitask, organize and meet deadlines
  • Must be able to operate routine office equipment including telephone, copier, and calculator.
  • Proficiency in Microsoft Office Suite
