Office Manager Direct Hire

The Office Manager operates within a family-owned and operated company serving both commercial and residential customers. The company boasts a commitment to clients as varied as the services offered. POSITION – Office Manager

JOB LOCATION – Barron, Wisconsin

STARTING DATE – Immediately

EMPLOYMENT TERM – Direct Hire

EMPLOYMENT TYPE – Full-Time

WORK HOURS (SHIFT) – 1st Shift (8am-5pm, Monday-Friday)

STARTING PAY – $23-25/hour or more DOE

REQUIRED EXPERIENCE AND/OR EDUCATION – HS Diploma/GED or equivalent required, Associate degree preferred. Previous role as an Office Manager required as well as AP, AR, payroll, and employment tax experience required.


As an Office Manager, you'll be tasked with providing administrative support in accordance with established policies, procedures, and objectives. This entails managing accounts receivable, billing, collections, and month-end processes, as well as overseeing all accounts payable operations. Your role will involve handling a variety of matters, including interaction with customers and crews. To excel in this position, you'll need to demonstrate a high level of organization, attention to detail, excellent communication skills, and the ability to juggle multiple projects simultaneously.


QUALIFICATIONS:

  • You must have experience with accounts payable, accounts receivable, payroll processing, employment taxes
  • Previous roles as an Office Manager or Accounting Assistant are preferred.
  • Understanding of commercial billing processes is required.
  • You should be proficient in navigating billing systems and addressing inquiries.
  • Proficiency in Microsoft Systems, particularly Microsoft Excel, Word, and Outlook, is necessary for daily tasks and reporting.
  • Strong written and verbal communication skills with meticulous attention to detail are essential.
  • You must possess strong time management, prioritization, and multitasking abilities.


DUTIES & RESPONSIBILITIES:

  • Handle all accounts payable and accounts receivable and reconcile accounts
  • Ensure compliance with financial procedures and guidelines
  • Generate customer billing and record billing details in spreadsheets
  • Accurately update product SKUs online and maintain inventory
  • Answering phone calls
  • Cleaning office
  • Handle all employee insurance forms and all insurance claims
  • Coordinate employee drug testing and new employee applications
  • Help line up weekly work and submit bids if requested
  • Contact clients and handle all online contractor accounts
  • Perform payroll, enter weekly time sheets, create weekly time sheets
  • File and send W2's and weekly/monthly/quarterly/annual taxes
  • Create forms needed for job sites
  • Create Excel spreadsheets for cost analysis
  • Handle all communications with client's office personnel
  • Handle all banking requests for financial statements and taxes
  • Perform inventory of office and shop supplies and order office and shop supplies
  • Make sure all employee certifications are up to date
  • Be certified for field work if required to leave the office
  • Delivery supplies to job site if crew requires parts
  • Other tasks as deemed necessary by management
