Job Summary:

Under the general supervision of the County Attorney, or designated supervisor, the County Attorney’s Office Receptionist generally is the initial point of contact with the County Attorney’s Office for the general public and other agencies.  The Receptionist receives visitors at the Office’s front public counter, answers telephone calls to the Office’s main phone number, appropriately directs visitors, telephone calls and general email correspondence to attorneys and staff members, and responds to routine inquiries from the public.  

 

The Receptionist will maintain records of the attorneys’ required continuing legal education and training, and as directed will organize and arrange for the attorneys’ attendance at continuing education and training.  The Receptionist supports the County Attorney in preparing budget reports and claims, electronic archiving and disposal of closed, stored files, and website management. 

 

The Receptionist may be cross-trained to provided secondary support to attorneys and staff in the County Attorney’s Office in some, if not all, of the following areas:  transcribing dictation, data entry, scheduling and calendaring, proofreading, document preparation, including support for mental health involuntary commitment proceedings, civil litigation and criminal prosecutions, and other projects and duties as assigned.

Duties/Responsibilities:

  • Provides front office reception and assistance to the public
  • Respond to general inquiries from public
  • Performs general clerical support (records maintenance, word processing, file management, main distribution, etc.)
  • Sorting logging and disseminating daily incoming mail, emails and reports
  • Preparation and delivery of outgoing mail
  • Logging reports of investigation
  • Delivery of documents and other items to the proper courts and county, state and private agencies and offices
  • Ordering, maintaining and storing office supplies
  • Arranging for maintenance and repair of office equipment
  • Answer calls and direct to appropriate staff
  • Maintains files of correspondence, forms, reports, and other materials.

Required Skills/Abilities:

  • Ability to be courteous, positive and helpful with the general public and other agencies’ staff members, interacting in a professional, diplomatic, and tactful manner on behalf of the County Attorney’s Office
    • Must understand and adhere to strict confidentiality requirements
    • Strong organizational skills and the ability to prioritize and manage multiple tasks
    • Strong English skills in spelling, proofreading, grammar and punctuation.
    • Thorough knowledge of, and demonstrated ability to use, standard computer applications (Microsoft Word, Outlook, Excel, Access, Power Point)
    • Ability to communicate well, in English, in both verbal and written forms
    • Ability to accurately and efficiently transcribe recorded material
    • Demonstrated attention to detail and accuracy
    • Ability to interact constructively with various level staff and in a collaborative team setting
    • Working knowledge of standard office operations, and legal processes and terminology
    • Working knowledge of standard office equipment (i.e. photocopier, fax, multi-function telephone, recording and transcribing equipment, etc.)

Preferred Education and Experience:

  • High school diploma or equivalent
  • Prior legal experience preferred

Additional Eligibility Requirements:

  • Must authorize and pass criminal background check and investigation to the satisfaction of the Ravalli County Attorney
  • Prior office experience involving heavy document production preferred
  • Verified test score for Typing
  • High School diploma or equivalent.  Additional education and training specific to the position responsibilities preferred
  • Relevant computer knowledge and experience

  • Office setting
  • Occasional overtime

Physical Requirements:

  • Must be able to lift up to 25 pounds at times.
  • Occasional walking to physical locations including steep slopes, rough terrain or other difficult environmental conditions
