What you’ll be doing

  • Provide professional accounting and financial support to the project team. 
  • Provide contract support.  Support project managers by drafting contracts and amendments.  Follow up for signatures and other contract-related items such as insurance certificates.  Read and interpret contract language for such items as a method of compensation, modifications, billing terms, and sub-consultant terms.
  • Project invoicing. Provide draft invoices to the project manager with accurate information based on contract requirements from the client.  Finalize invoices for the project manager’s signature and send them to the client with all needed documentation as required by the contract.
  • Managing project details and records. Over the project lifecycle, you will manage details, including set-up in Deltek Vantagepoint, helping set up labor estimates, filing documents and emails, and being the point person for resource documents.
  • Subconsultant management support.  Evaluate sub-consultant invoices for accuracy, help track sub-consultant budget and invoicing, send sub-consultant invoices to project managers for approval, enter sub-consultant invoices, ensure payment to sub-consultant is scheduled appropriately,
  • Financial support for projects. You will be responsible for providing additional project information/reporting when necessary.
  • Project accounts receivable. You will be responsible for making sure AR is followed up on your projects. Reaching out to clients with invoice copies/follow-up emails.
  • Respond to client requests for more detail as necessary.
  • Attend project-related meetings when requested.
  • Perform additional responsibilities as requested.

What you bring

  • Bachelor’s degree in Business, Accounting, Finance, or a similar field (or an equivalent combination of work and education).
  • At least three (3) years of accounting and contract document experience.  Project accounting preferred.
  • Knowledge of project accounting principles and practices.
  • Excellent computer skills, with proficiency in the Microsoft Suite, especially Excel and Word.
  • Experience with Deltek Vantagepoint accounting software is preferred but not required.
  • Detail-oriented and highly organized, with strong verbal and written communication skills, as well as experience interacting with clients and management staff.
  • Service-oriented personality.
  • Experience working with a project-based and private consulting firm is desired.
  • Ability to handle a varied workload of several different projects, each with specific deadlines and expectations.
  • Excellent time management skills and comfort working with tight deadlines and quick turnarounds while still paying keen attention to details.
  • Ability to work independently or as part of a team, meet deadlines and manage priorities.
  • Character of high integrity, trustworthiness, and reliability.
