POSITION SUMMARY

The Accounts Receivable Clerk performs a fundamental part in managing the financial aspects of the company and plays a vital role in maintaining a healthy cash flow for the business. Their primary responsibility involves maintaining accurate financial records and ensuring timely receipt of outstanding payments from customers. The position will work closely with various departments and business units, and other internal and external stakeholders to resolve any payment-related issues and ensure proper tracking and reporting of all invoicing activities.

DUTIES and RESPONSIBILITIES

  • Generate and distribute customer invoices, accurately reflecting the products or services provided. They must ensure that invoices are sent promptly, enabling a timely payment process. Additionally, track outstanding payments and promptly communicate with customers, reminding them of their obligations.
  • Tracking customer payments, regularly reviewing accounts, identify overdue payments, and promptly address the issue.
  • Utilize a strong attention to detail reconciling account discrepancies, handle disputes, and negotiate payment terms with customers.
  • Responsible for accurately applying customer payments to their respective accounts and recording payment details in QuickBooks, ensuring the accuracy of financial records, and facilitating easy identification of outstanding balances.
  • Act as a point of contact for customers regarding payment-related queries and address customer inquiries promptly and provide exceptional customer service, fostering positive relationships and ensuring customer satisfaction. Collaborate closely with the sales and customer service teams to resolve potential issues and maintain a seamless payment process.
  • Proficient in financial analysis, compile and analyze data related to accounts receivable, providing insightful reports to upper management.
  • All other duties as assigned.

REQUIRED QUALIFICATIONS AND EDUCATION

  • Minimum of a high school diploma or its equivalent.
  • Proficiency in financial software and accounting tools, such as QuickBooks accounting software.
  • Demonstrate computer literacy skills and proficiency in Microsoft Office Products, such as Excel, Word, Outlook, etc.
  • Strong knowledge of accounting principles and practices.
  • Excellent attention to detail and ability to maintain accurate financial records.
  • Effective communication and interpersonal skills for customer interactions and team collaboration.
  • Problem-solving and analytical skills to navigate complex payment discrepancies.
  • Exceptional organizational and time management abilities to meet deadlines and manage multiple tasks simultaneously.
  • Proficiency in data analysis and report generation.
  • Provide the highest level of integrity to maintain and safeguard employer confidentiality.
  • A solid understanding of industry regulations and compliance.

OTHER DESIRED QUALIFICATIONS

  • A degree in accounting, mathematics, bookkeeping, or other related fields is preferred.
  • A certificate in accounting, bookkeeping, or other related fields.
  • Previous experience in accounts receivable or a similar finance position
  • A general understanding of and practicing emotional intelligence in the workplace.

SUCCESSFUL CANDIDATE MUST:

  • Submit to, and pass, a drug test.

  • Be insurable to operate tribal vehicles.
  • Valid Driver's License or ability to obtain driver's license.
