BUSINESS SERVICEE COORDINATOR JOB SUMMARY

This position provides administrative project support and departmental organization to the Automation and Electrical Engineering department (I&E) and the Energy/Industrial department in all offices. Must have thorough experience with standard concepts, practices, and procedures in an office setting. Interacts as a team member with other department Business Services Administrators (BSA) providing support as needed. Must have excellent time management skills, Microsoft Office skills, and be self-directed, needing minimal supervision. Professional demeanor and communication skills are essential.


JOB DUTIES AS A BUSINESS SERVICE COORDINATOR

  • Maintains current and new clients in Cannon's Customer Relationship Management (CRM) database and updates client contact information.
  • Creates, maintains, and updates projects in Cannon's CRM database.
  • Prepares and proofs departmental correspondence and transmittals.
  • Facilitates completion of billing review report processed by Project Managers and coordinates meetings with Department Director.
  • Creates discipline specific reports and spreadsheets.
  • Reviews client contracts and distributes to legal counsel for review and approval.
  • If necessary, prepares standard subconsultant agreements and assists the project manager for any amendments to subconsultant agreements and insurance,
  • Prepares and proofs Additional Services Agreements (ASA's).
  • Facilities monthly project forecasting with Project Managers and Directors.
  • Maintains department calendar.
  • Maintains engineering library, online catalog(s) - may procure new resources.
  • Takes client calls and routes to appropriate team member.
  • Renews memberships and licenses for department members.
  • Responsible for department's weekly timesheet collection and auditing.
Requirements:
  • Requires a minimum of 2+ years comprehensive office experience providing administrative support.
  • Advanced working knowledge of Microsoft Word, Outlook, Excel, and PowerPoint.
  • Strong time management and interpersonal communication skills.
  • Has a general understanding of economic and financial aspects of design projects such as cost estimation, accounting, and budgets.
  • Ability to calmly respond in stressful situations or under pressure from department members.
  • Knowledge of Deltek Vision software, a plus.
  • Assists in preparing and tracking prevailing wage documentation and requirements.
  • Order and track project materials.
