HVAC Install Coordinator – New Construction

Central Oregon Heating, Cooling, Plumbing, and Electric is looking for a HVAC New Construction Install Coordinator to join our growing team.

Summary: The Installation Coordinator is responsible for manage the day-to-day scheduling operations and ensure that jobs are ready for installation, reviewing contracts, ensuring product delivery, overseeing the installation process, and following up with projects for completion.

Compensation: starting at $22 per hour

Schedule: Monday - Friday

Responsibilities, include but not limited to:

  1. Coordinates the scheduling of installations.
  2. Assign and allocate appropriate field personnel to install new HVAC system, with consideration of their specific skills, and abilities.
  3. Organize and efficiently utilize all required resources throughout the installation process.
  4. Ensure that the schedule is maximized to meet and exceed daily numbers.
  5. Communicate with warehouse personnel as soon as job is received to begin the equipment & parts acquisition process.
  6. Communicate with all required vendors, subcontractors, and developers to confirm the scheduling of their installation.
  7. Communicate with HVAC technicians with details of the job. Assign and dispatch installation Technicians.
  8. Communicate with installers for determination of job completion.
  9. Provide detailed job information and job specification sheets to installers with phone calls and emails.
  10. Determine and secure any permits needed for job.
  11. Work with permitting departments and inspectors to minimize failed inspections.
  12. Review notes, purchase orders, and invoices to determine if all proper material is ordered for jobs and location of supplies.
  13. Ensure that jobs are scheduled for inspection.
  14. Make any necessary schedule adjustments to ensure all work is completed timely and thoroughly.
  15. Facilitate meetings with the team.
  16. Maintain company quality standards and core values on the job sites.
  17. Track job, field personnel, and backlog status on appropriate systems and processes
  18. Ensure work orders are properly closed.
  19. Assist with other departmental needs and other duties assigned by manager.

Qualifications:

  • Valid and insurable driver’s license with clean driving record.
  • Minimum of 1-2 years of customer service experience with outstanding interaction skills.
  • Minimum of 1-2 years of administrative assistant experience.
  • Working knowledge of Microsoft Outlook, Excel, and Word. Ability to master all software used in business operations.
  • Able to communicate professionally, clearly, and concisely with other team members, management, and customers in person, by phone and email.
  • Must be highly motivated, detailed oriented, able to multi-task, be highly skilled in problem solving and accurate resolutions, have a keen sense of urgency, be flexible, and demonstrate the ability to follow through on tasks timely and effectively.
  • Have a great attitude that blends well with a fast-paced, goal-driven environment.
  • Must be punctual with a clean presentation of them self and be prepared to work every day to provide reliable support for your team with excellent timeliness and attendance.
