The Plumbing Office Assistant is responsible for providing administrative and clerical support to the plumbing office staff. They will assist in managing office operations, handling customer inquiries, scheduling appointments, maintaining records, and ensuring smooth communication within the office and with clients.

 

Key Responsibilities:

 

Customer Service:

  • Answering phone calls, responding to emails, and handling customer inquiries promptly and professionally.
  • Providing information about services, pricing, and scheduling to customers.
  • Addressing customer concerns and resolving issues efficiently.
  • Scheduling and Dispatch:
  • Coordinating with plumbers and technicians to schedule appointments and service calls.
  • Maintaining an organized schedule to optimize efficiency and minimize downtime.
  • Dispatching plumbers to service locations and ensuring they have all necessary information and equipment.
  • Administrative Support:
  • Assisting with office tasks such as filing, data entry, and maintaining records.
  • Generating invoices, processing payments, and managing billing inquiries.
  • Ordering office supplies and ensuring inventory levels are adequate.
  • Communication and Coordination:
  • Acting as a liaison between customers and plumbing staff to relay messages and updates.
  • Communicating job details, instructions, and changes to plumbers in a clear and timely manner.
  • Coordinating with other departments or external vendors as needed.
  • Documentation and Record-Keeping:
  • Maintaining accurate records of customer interactions, service calls, and work orders.
  • Recording job details, including services provided, materials used, and hours worked.
  • Compiling reports or summaries as requested by management.
  • Quality Assurance:
  • Following up with customers after service calls to ensure satisfaction and gather feedback.
  • Monitoring job progress and ensuring work meets quality standards.
  • Reporting any issues or concerns to management for resolution.

Requirements:

  • High school diploma or equivalent; additional education or training in office administration is a plus.
  • Previous experience in a similar role, preferably in the plumbing or construction industry.
  • Strong communication skills, both verbal and written.
  • Excellent organizational and multitasking abilities.
  • Proficiency in office software such as Microsoft Office Suite (Word, Excel, Outlook).
  • Familiarity with scheduling and invoicing software is advantageous.
  • Ability to remain calm and professional in high-pressure situations.
  • Attention to detail and a commitment to accuracy.
  • Willingness to learn and adapt to changing priorities and procedures.
