Responsibilities of the Service Administrator:
General and Project Administration:

High volume file management and ensuring all information is updated and accurate
Collection and maintenance of customer contact and relevant information
Understanding the various roles of the Service Department to ensure all calls and information is directed to the correct person
Assist with Accounts Payable and Accounts Receivables on Service billings
Working with various people to ensure all related documents are present and readily available
Preparation and management of various project related documents, such as work orders, quotes, purchase orders, change orders, etc.
Full cycle invoicing, which includes invoicing clients for completed work, as well as matching and approving POs
Preparing warranties as required (standard, OIRCA etc.) as well as insurance requests
Creating and closing subcontracts and submitting pay requests

Field Support:
Time card collection and review and payroll back-up if required
Maintain employee paperwork for field personnel to ensure all necessary paperwork is provided and filed
Ensuring CVOR logs are sent to Regional Health & Safety Manager each month

What we are Seeking:
 
 2 years experience in an administrative role is considered an asset
  Experience working in a construction environment is considered a strong asset 
  Invoicing and accounting experience is considered an asset  
  Must be organized and self-motivated with a sense of urgency
Ability to work in a fast-paced environment and be flexible 
 Able to prioritize competing deadlines and manage a high volume workload efficiently  
 Customer service oriented with a courteous and professional phone manner 
 Strong skills using the Microsoft office package; Word, Excel and Outlook
