Overview:

The HR/Housing Coordinator is responsible for assisting the Human Resources teams for all 6 Highgate Properties in Key West (Southernmost Beach Resort, The Marker Resort, The Gates Key West, 24North, Hilton Garden Inn, and Fairfield Inn & Suites) with a variety of Human Resources functions. He/She primarily responsible for the recruitment, selection, and onboarding. He/she is also responsible for the coordinatization of incoming and outgoing international associates and assist in the complete on-boarding of the international Associates. Required to follow up with program inquired in a timely and accurate manner and ensure completion of required paperwork, and the understanding and enforcement of company policies.

Responsibilities:
  • Assist with the International Associate process for program participants, including pre-arrival materials, answering inquires, providing travel validation, processing extensions and early departures.
  • Maintain the host agency database and internal reporting documents for International Associates.
  • Assist in recruitment of program participants to include, application, interview and selection of candidates.
  • Adhering to strict program deadlines and tracking of associate document submissions and requirements.
  • Providing advisement and support to all International students.
  • Arranging arrival/departure transportation for international associates
  • Managing student portal for application, and processing of inbound international program participants across various platforms
  • Coordinate welcome baskets for all new international students
  • Coordinate bikes for students, first come first serve
  • Assist with the planning and presentation of new employee orientation for international associates to include property tours
  • Assists with the completion of all new hire paperwork, ensuring all identification/visa, etc. are up to date in I9, send Welcome Announcement of Student to selected property.
  • Maintaining positive relationships with international sponsors agencies and partners to include, J1, H2B, TN Visa, H1B1 etc.
  • Managing portal for application, and processing of inbound international program participants.
  • Coordinatization of incoming and outgoing international associates and assist in the complete on-boarding process.
  • Assists with managing the International Associate housing process to include: securing appropriate housing, tracks leases and paperwork related to employee housing, and occupancy and revenue (ongoing), assigning roommates and/or room moves, while continually communicating all to the Director of HRs.
  • Coordinating with rental offices on yearly leases and conducting property walks monthly to ensure rentals are in working order
  • Assists with coordinating special cultural events quarterly to expose students to activities that promote exposure and interchange between our employees and Americans that will increase their understanding of each other's society, culture, and institutions.
  • Advises management in appropriate resolution of employee relations issues for the international workforce
  • Conducting pre-departure reconnection sessions and present departure gift for participants
  • Serving as the primary liaison to facilitate program for individual property, associate and sponsor agencies as well as visa compliance and maintenance of visa associates
  • Required to have reliable and suitable transportation.
Qualifications:

Education & Experience: 

 

An equivalent combination of education, training, and experience will be considered:

 ▪ Bachelor’s Degree; 2 year’s related work experience; Human Resources /Customer service experience

 ▪ Experience with J-1Visa processing

 

Physical requirements:

  • Long hours sometimes required.
