Event Sales Coordinator

Promotes, prices, plans, coordinates, and supervises the execution of all special party, banquet, and event functions. Ensures that customer requirements and specifications are adhered to and that functions run smoothly, efficiently, and profitably. Solicits and promotes special event business. Negotiates final pricing and prepares contracts. Hires, trains, schedules, supervises and terminates special events staff. Obtains supplies and equipment for each event. Greets customers prior to each event and remains present to ensure customer satisfaction.

Duties & Responsibilities:

  • Answers information request forms and telephone inquiries in a timely fashion.
  • Can coordinate events from start to finish for clients in Savannah and the surrounding areas.
  • Is knowledgeable of venues, florists, event supply stores, catering, pricing, and other catering companies in the area.
  • Attends appropriate trade shows and meetings to develop networking opportunities to boost the company’s visibility to the public.
  • Acquires supplies, decorations, special request items, and all other non-food goods needed for events.
  • Responsible for collecting all monies due from the private parties before the event begins.
  • Maintains and develops current client base through scheduled telephone calls, sales calls, and follow-up correspondence.
  • Focuses on coordinating and overseeing private events and maintaining relationships with local accounts with scheduled events.
  • Recognizes opportunities to maximize revenue opportunities by upselling and offering enhancements to create a more personalized cruise and/or dining experience.

Qualifications:

  • Bachelor’s degree in event planning or a similar field is required.
  • Minimum 3 years experience.
  • Knowledge of food and beverage service, generally involving front-of-the-house restaurant experience and/or banquet/event experience.
  • Effective written and verbal communication skills with the ability to communicate and understand in the predominant language(s) of the customers and staff.
  • Computer literate, highly organized, time management skills, telephone etiquette, problem-solving skills, effective leadership abilities, and multi-tasking required.
  • Must be able to work in a standing position for long periods of time (up to 8 hours).
  • Must be able to reach, bend, stoop, and occasionally lift up to 50 pounds.
  • Must pass a pre-employment drug screen and submit to random testing during employment.
  • Must be available for a varying work schedule to include days, evenings, weekends, holidays, and overtime as needed.
